As the Community and Office Associate, you will play a key support role in the daily operations of our workplace while helping foster a sense of belonging and engagement among our employees. This multifaceted role requires a proactive and personable individual who excels at both administrative tasks and building strong interpersonal relationships.
You’ll work closely with the local leadership team, local facilities contact, and the People Experience team to ensure the space runs smoothly and is welcoming for all employees and visitors.
This position is based at FBG’s Dublin office and requires on-site presence five days a week.
Key Responsibilities
1. Office Support & Operations:
2. Support the day-to-day needs of the Dublin office to ensure a clean, organized, safe and welcoming work environment.
3. Assist with visitor coordination including support for travel & social bookings, staff access, and card requirements.
4. Coordinate all local requirements for network, meeting room bookings, or other logistical needs.
5. Facilitate onboarding for new hires, supporting office access, equipment setup, and orientation in collaboration with People Business Partners, hiring managers, and IT.
6. Serve as a resource for existing employees to resolve issues impacting their work experience in the Dublin office.
7. Assist with desk assignments for new hires, visitors, and internal moves, maintaining seating plans.
8. Manage office supplies and admin for Dublin, including stationery, printing, IT accessories, health & safety supplies, and perishable goods.
9. Provide support to the Leeds, UK office and other international locations with supplies and administrative tasks.
10. Coordinate with IT support to ensure smooth setup for All Hands meetings, including AV setup.
11. Manage health and safety procedures, fire drills, emergency equipment, and compliance.
1. Facilities Coordination:
2. Act as point of contact for external vendors, escalating issues as needed.
3. Support maintenance and repairs within the office, including systems like AC, plumbing, electrical, and fire safety.
4. Ensure the office meets health and safety standards.
5. Maintain security protocols and liaise with security teams or property management.
6. Assist with office expenses and budgeting in collaboration with the Community Manager.
1. Community Engagement & Culture:
2. Support employee engagement activities, wellbeing initiatives, social events, and ESG programs.
3. Coordinate logistics for seasonal events, team outings, and recognition efforts.
4. Deliver regular communications to the Ireland team via Slack and email, including updates and notifications.
5. Act as a point of contact for employee inquiries, feedback, and concerns, providing support in collaboration with the Community Manager.
6. Coordinate logistics for company-wide events like town halls, retreats, and volunteer activities.
Requirements
* Proven experience of 5+ years in office management, administration, or related fields.
* Background in office management or facilities operations preferred.
* Excellent interpersonal skills to work collaboratively and foster community.
* Strong organizational skills with the ability to prioritize tasks.
* Adaptable and collaborative to changing needs.
* Effective written and verbal communication skills.
* Proficiency in G Suite and relevant software.
* Proactive, resourceful, and independent problem-solver.
* Bachelor's degree or equivalent experience preferred.
* Willingness to travel for events and meetings.
