Job description: Job Title: Executive Assistant with Accounts Background Location: Roscommon Town My client is seeking a highly skilled and experienced Executive Assistant with a strong background in accounts to provide high-level support to our Managing Director who manages multiple businesses and a property portfolio.
The ideal candidate will have a proven track record of managing complex calendars, coordinating travel, and handling office operations, while also possessing expertise in financial and accounts-related tasks.
Key Responsibilities: Executive Support: Manage complex calendars for senior executive, ensuring efficient scheduling of meetings, conference calls, and video calls across multiple time zones.
Prepare and distribute meeting agendas and supporting documents in advance.
Handle conflicting priorities and urgent diary changes with ease.
Travel Management: Coordinate global travel arrangements, including flights, accommodations, and itineraries.
Ensure thorough pre-planning and calendar synchronization for seamless travel experiences.
Office Management: Oversee daily office operations, including maintenance, vendor relations, and visitor coordination.
Manage invoice and purchase order processing, and handle office procedures.
Organize office social activities, events, and charity initiatives.
Accounts and Financial Support: Assist with financial tasks such as expense reporting, budget tracking, and invoice processing.
Bookkeeping Utilize accounting software (e.g., Xero) to manage financial records and transactions.
Support the finance team with ad-hoc financial analysis and reporting.
Project Management: Contribute to company-wide projects and initiatives to improve efficiency and foster a collaborative work culture.
Co-lead office relocations, managing logistics and setup to ensure minimal disruption to business operations.
Qualifications: Proven experience as an Executive Assistant, preferably in a fast-paced environment.
Strong background in accounts and financial management.
Excellent organizational and multitasking skills.
Proficiency in Microsoft Office Suite, Xero, Excel and other relevant software.
Exceptional communication and interpersonal skills.
Ability to work under pressure and handle confidential information with discretion.
A diploma or degree in Business Administration, Accounting, or a related field is preferred.
