We are seeking a highly organized and friendly individual to join our team as a Evening Receptionist. In this role, you will be the first point of contact for visitors, clients, and employees, ensuring excellent customer service while also performing a variety of administrative tasks to support the smooth running of the office.
Key Responsibilities:
* Reception Duties:
* Greet and welcome visitors and clients, ensuring a professional and friendly atmosphere.
* Answer phone calls, take messages, and direct inquiries to the appropriate department or person.
* Membership/Till database management
* Maintain a clean and organized reception area.
* Handle incoming and outgoing mail and packages.
* Administrative Support:
* Maintain debtor and creditor Control
* Schedule and coordinate meetings, appointments, and events.
* Assist with office supplies management, ordering and maintaining stock levels.
* Perform data entry and update company records and databases.
* Handle filing and organizing both physical and digital documents.
* Assist with preparing reports, presentations, and other materials as needed.
* Assist with Invoicing and other materials as needed.
* Direct Debit collection
* General Office Management:
* Maintain office calendars and assist with scheduling team or department meetings.
* Manage office equipment and arrange for repairs or maintenance when necessary.
* Ensure compliance with health and safety standards in the office.
Required Skills and Qualifications:
* Minimum 2 years experience in a SME or similar
* Previous experience in an administrative or receptionist role is an advantage.
* Excellent communication skills, both written and verbal.
* Strong organizational skills and the ability to multitask effectively.
* Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
* Experience with Quickbooks (not essential)
* Professional demeanor and positive attitude.
* Ability to work independently and as part of a team.
* Strong attention to detail and problem-solving skills.
Work Environment:
* Office setting, with typical working hours from 9:00 AM to 5:00 PM (or as specified).
* Occasional lifting or carrying of office supplies and equipment may be required.
