The Role:
The Office Administrator will provide administrative and operational support to the Ballinrobe site. This role will support the office, production and recycling areas, and assist in ensuring that production targets and operational objectives are met.
Tasks and Responsibilities:
While reporting to the Plant Manager and overall accountability to the Sales Director, the position will be primarily based in Ballinrobe, Co. Mayo. Some flexibility will be required to support other subsidiaries as needed. Duties will include:
Administration Support
* Answer, filter, and direct incoming telephone calls to the appropriate departments
* Meet and greet visitors, ensuring they are signed in and out
* Provide day-to-day administrative support to the Ballinrobe site
* Managing internal & external post and arranging couriers as required
* Maintain accurate production and recycling records, ensuring data is updated and communicated promptly
* Use SAP to support production planning, reporting, and resource coordination
* Communicate recycled stock levels weekly via the internal communication tool (WhatsApp on Mondays)
* Liaise with the sales team to follow up on orders and prevent stock build-up
* Monitor and report on rebates, ensuring they are reviewed and reduced where possible
* Daily sorting, coding, and matching of invoices for processing
* Issue POs and manage delivery docket returns
* Handle daily filing, scanning, and maintaining paperwork
* Review and verify invoices to ensure accuracy before processing
Production and Recycling Support
* Work closely with the recycling area to monitor resources, including personnel, materials, and output
* Support production operations to ensure targets are met efficiently and safely
* Coordinate with production staff to ensure smooth workflow and effective communication between departments
Communication and Coordination
* Support effective communication between the production, sales, and all teams
* Monitoring the sales inbox, coordinating customer orders, communicating order requirements to production teams, and scheduling deliveries with logistics
* Ensure all relevant information regarding stock, production, and recycling is shared accurately and on time
* Assist in identifying process improvements in both administration and production operations
Ad Hoc Duties
* Undertake additional administrative or operational tasks as required to support the overall running of the site
* Provide backup support to other team members during busy periods, absences, or projects
* Participate in company initiatives, audits, or site improvement projects as needed
* Commit to continuous learning through active participation in training and development
Requirements:
* Previous experience in a busy administrative support role (manufacturing preferred)
* Strong organisational and multitasking skills with excellent attention to detail
* Proficient in Microsoft Office and SAP (or similar ERP system)
* Excellent communication and teamwork abilities
* Thrives on being busy
* Positive and can-do attitude essential
