We are now looking for a reliable, organised, and proactive Accounts & Admin Manager to take ownership of our day-to-day admin systems and remove that pressure from the business owner.This role is ideal for someone who enjoys creating order, improving systems, and working closely with a small business as it grows.We already work with an external bookkeeper, so this role is not a bookkeeping role – it's about organising information, coordinating tasks, and keeping everything flowing smoothly.Key ResponsibilitiesPayroll Coordination (Weekly – Priority)Manage employee work hours via ConnecteamExtract weekly hours and send them to our bookkeeper every MondayProvide a weekly payroll summary to the business owner confirming:Hours workedNet pay due for each employeeLong-term option (once trust is built): making payroll payments on behalf of the businessSubcontractor Invoice ManagementManage subcontractor invoices via Google WorkspaceEnsure invoices are correct, approved, and ready for payment (paid fortnightly)Liaise with subcontractors regarding invoice queriesCoordinate all relevant details with the bookkeeperSupplier Invoice & Statement ManagementCollect and organise supplier invoices and monthly statementsMaintain a clear list of amounts due and payment deadlinesProvide easy-to-read summaries for the business ownerVAT & Purchase Invoice OrganisationOrganise all purchase invoices and receipts for bi-monthly VAT returnsSet up and manage an efficient system using Google Drive or similarCoordinate directly with the bookkeeper to ensure all documentation is ready on timeImprove or suggest better systems for receipt collection and storageJob Profit & Loss TrackingMaintain job-based profit & loss trackers (Excel template provided)Input sales invoices, labour costs, and material costsAssist in improving the tracker for clearer reporting and ease of useProvide clear summaries showing job profitabilityWhat We're Looking ForStrong experience in accounts admin, office management, or finance administrationExperience working with trades or construction is a big advantageExcellent organisational skills and attention to detailComfortable with:Excel / Google SheetsGoogle WorkspaceDigital systems and appsProactive mindset – willing to suggest better systems and workflowsTrustworthy and professional (this role involves sensitive financial information)Ability to work independently and communicate clearlyWhat We OfferFlexible working hoursMostly remote workLong-term position with growing responsibilityOpportunity to help shape systems and processes from the ground upTrusted role within a growing construction businessHow to ApplyPlease apply with:A short cover note outlining your experience in accounts/admin rolesAny experience working with construction, trades, or small businessesJob Type: Part-timePay: €13.60-€20.73 per hourExpected hours: 16 per weekBenefits:Employee discountFlexitimeFree or subsidised travelOn-site parkingEducation:Leaving Certificate (preferred)Experience:admin: 1 year (preferred)Work authorisation:Ireland (required)Work Location: In person
