Offer description

Kelly Recovery are looking for Receptionist / Clerical Officer they will be responsible for providing reception and administrative support to ensure the efficient day-to-day operation of the depot. The role includes customer handling, processing documentation relating to vehicle recovery and release, issuing invoices, maintaining accurate depot records, and assisting with dispatching recovery jobs to drivers when required.

Key Duties and Responsibilities

* Reception & Customer Service

* Act as the first point of contact for all visitors, customers, and callers.

* Assist individuals collecting vehicles, ensuring correct identification and Garda documentation is provided when applicable.

* Respond to incoming telephone calls, emails, and general enquiries promptly and professionally.

* Administrative Duties

* Maintain accurate and up-to-date records of vehicles recovered, stored, and released.

* Perform data entry, filing, document management, and handle confidential information in accordance with GDPR and company policies.

* Liaise with Gardaí, insurers, partner organisations, and authorised third parties where necessary.

* Maintain a tidy, organised, and professional reception and office environment.

* Invoicing & Financial Administration

* Prepare and issue invoices for recovery and storage services.

* Receive payments (card and/or cash) and issue receipts.

* Update the invoicing system and monitor outstanding balances.

* Dispatch / Driver Coordination (as required)

* Support the allocation and dispatching of recovery jobs to drivers.

* Communicate job details clearly and accurately to drivers.

* Monitor job progress and update systems or paperwork accordingly.

Key Skills and Requirements

* Strong communication and interpersonal skills.

* Proficient computer skills (email, spreadsheets, data entry).

* Ability to prioritise workload and work efficiently in a busy environment.

* Strong attention to detail and high accuracy when handling records and payments.

* Ability to maintain confidentiality and handle sensitive information professionally.

Job Types: Full-time, Permanent

Pay: From €16.00 per hour

Expected hours: 40 per week
