Part time Office Administrator, Churchtown, Dublin 14

3 days per week, ideally Tuesday, Wednesday, Thursday

Hours: 9-5pm

Location: Churchtown, Dublin 14 (Parking Provided)

Salary: €35-38k pro-rata for part time.

This is a permanent role

Description of Role:

Our client is now seeking a Part Time Office Administrator to join their team in Churchtown, Dublin 14.

This is a new role due to an increase in business to assist the existing office / administrative staff.

Requirements:

* Proven experience as an office administrator / accounts administrator.

* Candidates must have their leaving cert or equivalent.

* Excellent knowledge of MS Office and office management software (Word, Excel, Adobe).

* Familiarity with office management procedures and basic accounting principles

* Ability to work within team with good organizational and interpersonal skills.

* Must be a team player with a positive attitude and an ability to work under pressure.

* A ’people‘ person with ability to communicate to all levels within the organisation

* Ability to meet deadlines and prioritize workload.

* Abilit to deal with people in a friendly and professional manner and provide excellent customer service skills.

Key Duties & Responsibilities:

* Answering phones, dealing with callers / field staff and assisting where possible.

* Managing the internal order book and job number system.

* Issuing critical documents to clients.

* Present completed jobs list for invoicing to accounts department.

* Scheduling field operative‘s daily tasks and site visits.

* Create and update jobs, reports, client contacts and personnel data.

* Receiving completed job sheets and ensuring contract compliance.

* Generating completed job certificates & lab reports.

* Scheduling contract expiry and renewals and assisting where possible.

* Checking delivery dockets / Invoices and confirming agreed prices.

* Checking fuel dockets, expense and credit card receipts.

* Ensuring staff training matrix is up to date.

* Preparing light deliveries for collection.

* Actively involved in the continuous improvement of new office systems and processes.
