About this post: We are seeking a skilled, experienced and motivated Programme Coordinator to join the RCSI Online team. This role represents an exciting opportunity to join an established education management team and to coordinate innovative, online postgraduate and professional development programmes, in support of the University's strategy for growth and impact. The Programme Coordinator will work with the wider operations team and management team to plan and operationalise online programmes in collaboration with academic colleagues, and to deliver an excellent student experience from onboarding to course completion. Ideal candidates will be experienced in online programme delivery with excellent technical skills, and a passion for customer service excellence. Manage all aspects of programme coordination in an efficient and timely manner Proactively nurture and advise students throughout the student journey Support the maintenance of a proactive student centric service culture Specifically, the duties of the post are: Efficiently plan and co-ordinate all elements of postgraduate and professional development programmes from conception to completion. Responsible and accountable for the coordination and day to day management of programmes, to ensure the effective running of the programme and the delivery of a highly flexible, responsive and effective service to students Act as the key point of contact for students and other relevant stakeholders internally and externally as it relates to the programmes, while also proactively communicating with students to support engagement. Build and maintain effective relationships and proactively deal with any queries or issues arising, escalating appropriately. Implement a quality and engaging digitally enhanced learning experience for students using DEL tools and solutions, including Virtual Learning Environment (VLE)/Moodle Review and quality assurance of content structure and set-up, liaising with relevant stakeholders to ensure content is accessible and in line with the standards for digital delivery. Schedule and facilitate a smooth live delivery of teaching and provide technical support to students during live sessions Coordination of assessment process and ensuring technical set up of assessment, liaising with assessors, moderators and Regulatory Services Manager to ensure the timely grading and release of assessment results Working with the Regulatory Services Team to prepare accurate and correct conference sheets for Examination Boards, and ensuring appropriate documentation is available for External Examiners Management of the student record on the RCSI student information system, ensuring correct and accurate status and student information is recorded and liaising with the relevant parties where updates are required Working with Student Fees to support fee management Providing student support and guidance as required, such as advice on programme requirements, regulations, procedures or directing students to the appropriate resources Supports and coordinates applications and application process with relation to a change in student status - LOA, EC etc. ensuring alignment and adherence to wider University policy Monitoring of student progress and management and reporting on related data Have knowledge of programme budgets and effective execution of internal systems including the purchase order system Coordination of Course Evaluation Process to support continuous quality improvement Supporting the Conferring of students on programme completion Collaborating and supporting other professional functions including Marketing, Student Recruitment, Admissions etc. Attending team meetings and contributing to the team's overall success through sharing information, effective teamwork, management and ownership of responsibilities. Provision of accurate and timely information to relevant senior team members to ensure all issues are dealt with in an efficient and effective manner Other Responsibilities: Undergoing programmes of training and development as may be required from time to time. Representing the best interest of RCSI at all times. Effectively perform other related duties and ad hoc tasks and projects as required: ensuring projects are scoped, scheduled and delivered to meet expectations, provide support for other roles, event coordination and the wider team if required. Travel on occasion may form part of the role. Occasional unsocial hours will apply Key Requirements: Qualifications: Third level qualification in relevant discipline Knowledge & Experience (Essential): Experience in a similar role Experience of using Learning Management Systems/Virtual learning environments Experience in using and managing online teaching platforms (e.g., Class Collaborate, Zoom etc.) Experience in the use of technology enhanced learning platforms and other technology enhanced educational tools (e.g. Turnitin, Panopto, Menti, Padlet etc.) Experience of using student record systems Experience of facilitating online learning Knowledge and experience of excel Knowledge and experience editing content Track record in taking ownership of discrete programmes of activity. Experience of coordinating complex work packages with cross functional liaison Experience of customer services, preferably in an educational setting A team player with a track record of working collaboratively alongside colleagues in a constructive and positive way Proficient communicator with an ability to transparently communicate solutions, opportunities and issues to colleagues at all levels, providing appropriate level of detail as required. Adept at building relationships and effective networks. Highly organised and logical thinker with acute attention to detail and follow through, considering all aspects of the job at hand including potential issues and wider impact Strong analytical and problem-solving skills Can operate flexibly within a busy and changing environment; can shift focus when required act decisively and prioritize several initiatives to meet deadlines.
