Scheduling & Admin Support -- Cork Office
Purpose of Role:
The scheduling support role will work with the scheduling team to match the most suitable employee's availability with the client needs to fill all shifts. They will also assist in administration tasks and support the management team in the delivery of services to our clients. The right candidate for this role will be confident in working on their own initiative, be a positive team player and be focused on problem solving and process improvement. You will join an experienced, friendly, and fast paced environment and support the rewarding work of a skilled and experienced team of health and social care professionals.

Barrog Healthcare is a small, private health and social care provider based in Dublin and Cork with services nationwide providing residential care, community outreach and day packages nationwide to enable people who need support across the areas of disability, aftercare, transitional and mainstream social care.

Salary: €33,200
Job Type: Full time, Permanent - 6 month contract

Working Hours: 9am to 5pm Mon - Fri
Location: Based in our office in Cork city.

Job Title: Scheduling & Admin support
Probation: 6 months
Vetting: All applicants will be subject to reference checks and a request to provide security clearance from any country in which they resided for more than 6 months after their 16th birthday.

Essential Criteria:
Permission to work in Ireland.
Have proficient ICT skills including a working knowledge of Microsoft Packages - Excel and Word and be familiar with an email package e.g. Outlook.
Administrative, HR or office support experience
Full clean driver's licence in order to support the moving of company vehicles to locations around the city or to accompany for NCT / maintenance if needed
Advantageous to have experience in scheduling and using scheduling software
Be fluent in English, both verbal and written
Candidate Skills / Experience
Organized individual with the ability to manage multiple priorities while maintaining high performance standards
Excellent levels of accuracy and attention to detail
Strong negotiation/influencing skills
Ability to prioritise and remain calm under pressure
Excellent communicator with an ability to communicate clearly with a range of employees, management, and external audiences.
A good understanding of levels of compliance required to implement HR policies/procedures and guidelines.
Health: A candidate for and any person holding the office must be fully competent and capable of undertaking the duties attached to the office and be in a state of health such as would indicate a reasonable prospect of ability to render regular and efficient service.

Main Duties/ Responsibilities:
Scheduling
Coordinating employee's schedules
Coordinating and maintaining a complete Client service schedule using our scheduling software
Accurately entering and maintaining Client and employee records
Meeting and familiarizing yourself with the employee team to enhance the client and employee matching process
Highlighting issues as they arise to relevant management
Monitoring, mediating and logging both Client and team member concerns.
Administration
Providing front of house presence for the company and a supportive welcome for our Team
Manage correspondence by answering e-mails and sorting mail.
Maintain a positive and friendly company image by acting as first line contact to visitors, Customers, in person, online and via telephone.
Support for logistic administration and maintenance
Answering incoming calls in a friendly, professional, and knowledgeable manner.
Practical support for business activity
Effectively managing and developing excellent relationships with the team and Clients
Dealing with emergency situations decisively and effectively
Support the administration processes for Barrog South
Draft, format and print documents as requested.
Attend meetings and take minutes as needed.
Familiarise with the policies and procedures of the company as they relate to its work.
Support the Management Team in the creation of accurate records/files as requested.
