JOB TITLE: Reservations Agent
Purpose of job:
To take reservations to the hotel standard as stipulated in the Standard of Performance Manual.
Responsible to:
General Manager, Sales & Marketing Manager, Front Office Manager, Reservations Manager.
Key Communicatio
ns: Reception, Conference & Banqueting, and Sales & Marketing.
Roles & Responsibilities
· To be a sales person for the Hotel by up-selling and recommending the Hotel facilities and developing a good rapport with clients.
· To recognise sales leads and pass them on to the Sales & Marketing Manager.
· To work closely with the sales team and assist in negotiating rates and organising special promotions.
· To have full knowledge of all the Hotel's rates and packages.
· To ensure all bookings are confirmed to the client in writing.
· To operate an efficient filing system compliant to the Hotel standards
· To yield Hotel rates and ensure the best rates are achieved at all times depending on the hotels availability.
· Be knowledgeable of upcoming events.
· To be aware of the payment status of reservations and ensure deposits and prepayments are received on time, liaising with Reception/Accounts accordingly.
· To ensure all bookings are entered correctly into the Hotel PMS with 100% accuracy.
· Ensure that all traces are actioned daily.
· To ensure that all groups on option are chased or cancelled on time.
· Ensure co-ordination of with Reception re payment details, arrival times, requests.
· To co-ordinate in advance with the Restaurant, Concierge and any other departments any information which concerns them.
· To answer all emails coming into the Reservations Office and ensure that all emails are responded to within 24 hours.
· Assist with the opening and closing of the GDS, hotel website and all other websites on a daily basis and to update the websites regularly with rates and allocations to ensure that the Hotel is bookable and we are yielding the rate.
· To recognise regular and repeat business and ensure special requests are clearly noted for Reception.
· To work closely with the Reception team and ensure all information about bookings are passed on in order to ensure every guest has a problem free stay.
· To help train new front office staff.
· Reservations operates on a rota basis covering 8am – 7pm week days. Occasional cover on weekends or Bank Holidays is required.
· Ad-hoc support additional support may be required in other departments to suit business needs
