This is an exciting new role for an experienced professional services Workspace, Facilities, or Office Manager seeking a diverse, challenging, and regional role. You will work closely with senior management and the wider global team to lead the function for Ireland.
The team's primary objective is to create and maintain innovative, safe, sustainable, and agile workspace environments that promote well-being, service delivery, and client excellence, consistently to the highest standards.
* Strategy: Reviewing our strategy for the delivery of third-party services across the region – ensuring that we have the best model that ensures service excellence & consistency, KPIs, and optimal cost/value.
* Innovation: Ensuring that there is a constant focus on innovation – working with the Senior Workplace Services Manager on projects, based in the UK, to ensure that you are creating new and better processes for working
* Mentoring & Support: Ensuring that you provide the necessary support and training to the wider team, helping your team to grow and develop
* Finance: Work with our central Business Management team on the annual budget / P&L management.
* Management of all facilities' invoicing.ISO audits: Understanding of and requirement to support 14001, 27001, and 45001 accreditations.
What you will be doing:
* Support a regional team delivering facilities and office management activities.
* Focus on service delivery, people, and contract management. In Dublin, manage and mentor a facilities team, fostering a collaborative and high-performance culture.
* In Belfast, work with and support the local Office Manager with the delivery of workplace services.
* Work with the Environment, Health & Safety manager and team on policy
* Supporting the project team with on-the-ground support and knowledge in relation to office moves, refurbishments, and capital expenditure.
* Build appropriate development plans to support the Belfast office, supporting plans
* Lead agile working to benefit our firm, our clients, and teams
* Support the contracts management and manage third-party suppliers
* Direct line management of the support team, evaluation of challenges, proactive decision making, implementation of efficient working practices, including challenging limitations, and championing change.
* Positively adapting to change and continual process improvement, supporting the wider business strategy
Skills & Experience
* The job holder will be an experienced Workplace, Facilities, or Office Manager preferably from an agile background or professional services demonstrating at least 3 years in an operational role with knowledge of Environment Health and Safety practice within the Ireland region.
* You will have experience in contract management, space planning, change management, Landlord relations, operational budgeting, office relocations or refurbishments with some preferable project management skill.
* You'll be able to demonstrate the capability for developing staff through various means such as effective delegation, encouraging contributions from team members as appropriate; undertaking regular reviews of objectives and skills of team members; use of a range of management approaches such as supervision, mentoring, appraisal, etc.
* Experience of managing HR and performance management, attendance and disciplinary cases.Good analytical skills, comfortable with maintaining a focus on operational metrics.
The person
* Experienced in Workplace, Facilities, or Office Manager, preferably from an agile background such as legal firms or professional services, demonstrating at least 3 years in an operational role with knowledge of Environment Health and Safety practice within the Ireland region.
* The job holder should have experience in contract management, space planning, change management, landlord relations, operational budgeting, office relocations or refurbishment,s with some preferred project management skill.
* The job holder must demonstrate the capability for developing staff through various mean,s such as effectively.
* Good analytical skills, comfortable with maintaining a focus on operational metrics.
