Shift Pattern 09:00 to 17:00, Monday to Friday, 40 hours

ISS Facilities Services are seeking an experienced FM manager to join our team in an exciting Galway location. To work with the existing catering team in the provision of seasonal food in line with the ISS brand and to a standards of quality, food hygiene and health and safety.

Key responsibilities and accountabilities

Food Production

Tasks

* Manage FM and Cleaning teams & support Catering team in Galway
* Manage Leixlip team
* Ensure all PPM’s / reactive calls are closed on time
* Join all ISS & client meetings (Ops, Tech, etc)
* Manage all subcontractors attending - permits, RAMS, etc
* Ensure all TBT’s, safety flashes, HSEQ calls are cascaded to teams
* Upload all teams hours weekly on ASI
* Ensure all AssessNet RAMS, CRA’s, inspections, etc are ‘audit ready’
* Complete HPE KPI’s on sharepoint monthly - janitorial audit, velocity, shipping & receiving, etc
* Ensure all team members training & LMS are up to date
* Order all cleaning consumables (bi-monthly for Galway)
* Present monthly budget / variance file to client → KAM
* Present monthly BRM’s to KAD/KAM
* Conduct BCP’s & orchestrate any ERT activities across sites
* Conduct appraisals / performance reviews with teams
* Lead smaller projects & assist with larger projects across sites
* Prepare annual controllable and F&H budgets for client
* Provide reports & management info to KAM as required
* Available for on call rotation
* Monthly GEM call with team

Experience / Person Specification

* Must have full legal rights to work in the country. Evidence will be required
* A relevant third level qualification in hospitality, retail, or related discipline.
* At least 10 years’ experience at management level within the Hospitality industry.
* Proven people manager and leader capable of developing people and teams with at least 10 years of people management experience.
* Proven commercial track record, able to demonstrate the formulation and implementation of contract winning proposals
* Proactive at keeping current with the latest technologies
* Strong operations background ensuring value added and effective contribution and oversight.
* Must be a team player.
* A minimum of 5 year’s experience with supply chain management including the tendering of contracts and subsequent monitoring

Executive Summary

Our Site Facilities Manager (FM) will be responsible for the overall service delivery, supplier monitoring, and customer experience and client liaison on our client site in Galway and their satellite office in Leixlip. The objective of this position is to ensure a first-class service delivery to our customer. These services include but are not limited to technical services, catering, cleaning, property, support services, pest control, and sub-contractor management. The position requires the successful applicant to liaise with the client FM lead, vendors and the ISS team to ensure the service provided is within the scope of works for the contract. The position will require the successful candidate to manage all external providers and the approval of same enabling the delivery of best in class service. The FM will be expected to play a leading part in developing and managing the on-site teams.

As this role is with a Global Key Account the successful candidate will also have a joint reporting line to the Regional Account Director, EMEA.

Purpose:

* To confidently lead the ROI Workplace team and manage all processes within the day-to-day operation ensuring all service levels are maintained.
* Oversee all services across the IFS contract liaising daily with all service lines (Workplace, Cleaning, Engineering & Catering)
* Lead small on-site projects and initiatives across the client’s estate
* To liaise closely with key client contacts as well as key users of the service.
* To ensure resources meet demands in all areas
* To proactively review all operational areas to maximise efficiency and develop the operation

Key Responsibilities:

* To oversee the work of the Workplace teams and to act as a point of escalation
* To support the training, development and up-skilling of the Workplace team and to maximise team building processes
* To plan, allocate and monitor own work and that of the local Workplace teams to ensure targets are met and work is carried out to meet and exceed agreed standards, creating necessary conditions for maximum productivity.
* To drive an exceptional service experience which provides a seamless interface for the service users whilst driving continuous improvement, sharing best practices and connecting the community.
* To liaise with local client stakeholders, building relationships and establishing efficient lines of communication for any issues or comments.
* To create and maintain a healthy, safe, and secure environment and ensure compliance with all health and safety legislation.
* To ensure the local teams adequately support client requirements such as business continuity planning, information security, internal/external certification audits, financial, security and HSEQ data.

Service Delivery

* Effective management of ISS service streams and external vendors to ensure delivery of high quality, value-adding services.
* Responsibility for the effective delivery of cleaning and waste management services across the sites.
* To provide oversight of the food and hospitality (F&H) services across the sites, including interfacing with Client representatives and ISS F&H team.
* To work with all service stream leads to embed the ISS Touchpoints concept within the contract and ensure that an IFS culture underwrites everything we do.
* To ensure the effective implementation of all HSEQ and other policies and processes.
* To conduct Health and Safety risk assessments.
* To support the Client business continuity processes.
* To ensure that service levels are being met in all work areas.

Client Management

* To deal with all client issues that are escalated from the team & client representatives
* To encourage, action & improve all user feedback
* To develop a good working relationship with end users and client representatives
* To attend meetings with client as and when required
* To demonstrate and drive pride and professionalism in all aspects of customer service, providing flexible and responsive assistance to clients and colleagues putting the customer / client first and foremost.

Commercial

* To ensure that annual budgets are monitored and adhered to.
* To support the measurement of KPI's and service standards against agreed and obligated levels.
* To provide timely and accurate reports and management information to Key Account Manager and wider UKI team as required
* To support the local KAM and the Regional Account Director, EMEA.in overseeing the commerciality of the contract, including budgeting and forecasts, variable billing, implementation of savings initiatives.

People management and development

* To ensure appropriate staffing levels are maintained in all areas
* To monitor staff performance, carry out interim and annual performance reviews for team members and to take necessary action when required
* To hold regular team/one to one meeting to ensure effective communication
* To train and develop team members
* To ensure compliance with all relevant policies and procedures in relation to recruitment, absence management, disciplinary procedures etc.
* To ensure all new & temporary staff on site have completed necessary induction processes and comply in full with ISS and Client requirements (e.g. information security, access, HSEQ).
* To ensure the Workplace team operating within the region are meeting the ISS values and leadership principles.
* To focus on the expected team behaviours for achieving significant results and outcomes for the business, helping ISS to maintain it’s leading-edge status within the industry and to build on our reputation with the customer.

Qualifications

* Graduate calibre (or appropriate time served track record)
* Industry specific Professional qualifications

Experience

* Minimum of 5 years’ experience within the FM Management arena.
* Experience in the professional services industry is an advantage
* Strong customer and client focus – must have experience in customer facing Facilities Management environment.
* Supplier management – must have experience of managing suppliers in a similar type of environment.
* Evidence of managing performance and identifying improvements through the use of management data.
* Communication – good level written, oral communications skills. An influential communicator, with the ability to deliver clear and concise messages and identify mutually agreeable solutions.
* Proven track record of achievement
* Flexibility to work out of hours to support service delivery needs as necessary.

Other features of the job

It may be necessary to work alternative hours, shift patterns or unsociable hours, including weekends and sometimes more than contracted hours. As part of your job, you will be expected to attend training events and/or meetings and travel to other locations may be required. Local requirements will govern your patterns of work.
