Medical Secretary

Candidate Criteria:
Education
* Leaving Certificate or equivalent
* Proficient in Microsoft Office Suite
* Desirable: QQI / Fetac Level 5 or equivalent Medical Secretary / Medical Administration qualification
Experience
* Excellent secretarial and organisational skills
* At least 2 years previous experience in a similar role or transferable skills demonstrable.
* Knowledge of medical terminology desirable
* Experience in Diary Management
* Experience in the use of Patient Management Systems
* Knowledge in the management of Confidential Patient Information
* Cash Handling experience
Key Responsibilities:
* Manage telephone communication ensuring all calls are received and recorded, by taking accurate written messages and dealt with within an appropriate time frame.
* Deal with queries from service users including patients and their families, in a manner that is consistent with clinic and hospital policies and procedures whilst demonstrating understanding, empathy and discretion.
* Deal with complex incoming post/faxes bringing information to the attention of the Consultant and processing as directed.
* Ensure the timely processing of all patient related information, including clinic letters, reports, referrals, appointments, admissions, and all, general enquiries.
* Ensure that all correspondence is handled within the required timeframes.
* To be responsible for booking all appointments, coordinate theatre bookings and manage changes, cancellations as required.
* Check and verify theatre lists where appropriate.
* Liaise with the CNM2 for theatre scheduling, generating theatre lists and booking procedures.
* Maintain the diaries of consultants, organising meetings, leave arrangements etc.,
* You will ensure that patient and practice confidentiality is respected at all times, and act as a chaperone if required.
* You will be required to work within the guidelines & instructions for inputting & retrieving information from the Patient Management Systems.
* To be responsible for managing allocated Public Waiting List initiatives as required.
* Manage as appropriate the surveillance register to include monitoring and booking surveillance patients as directed by the consultant / hospital.
* Ensure all necessary paperwork is completed and enter details onto the appropriate patient management systems as defined by the clinic/ hospital minimum data set.
