Role Overview We are seeking a highly organised and experienced Assistant Facilities Manager to support a major multi-site facilities management contract across the Island of Ireland. Based in our Dublin (Swords) office, the position will work within a dynamic technical environment, providing leadership in maintenance planning, subcontractor supervision, documentation control, and the operational delivery of Hard FM services across a diverse retail property portfolio. This role is central to the oversight of Planned Preventative Maintenance (PPM) and Reactive Maintenance activities, ensuring all works are completed within KPI timeframes and are recorded to an auditable standard. You will supervise a team of planners, coordinate daily maintenance workflows, and ensure exceptional service delivery for our client. Key Responsibilities Maintenance Operations Accountable for the planning and delivery of all PPM and Reactive Maintenance activities across a multi-site retail portfolio. Ensure all maintenance tasks are completed within agreed KPI/SLA response and completion targets. Review, validate, and upload worksheets, commissioning reports, certificates, and timesheets in line with compliance requirements. Monitor asset performance and support proactive measures to maintain uptime and mitigate risk. CMMS & Documentation Management Maintain and validate all technical records within the CMMS system, ensuring full accuracy, compliance, and prompt resolution of documentation issues. Manage digital and physical document control, ensuring all files remain current, traceable, and compliant. Progress maintenance workflows effectively, ensuring timely task closure and accurate data entry. Team Leadership & Subcontractor Coordination Provide daily supervision and guidance to the maintenance planning team. Optimise technician scheduling, ensuring efficient resource utilisation across the contract. Oversee subcontractor performance across Mechanical, Electrical, Fabric, Life Safety and Grounds Maintenance services. Support continuous improvement initiatives and ensure service delivery excellence. Reporting & Compliance Update and manage the centralised contract tracker to support compliance audits, performance reporting, and operational transparency. Produce regular maintenance activity reports for internal stakeholders and client teams. Identify risks to asset/system downtime, escalating issues as required and supporting mitigation measures. Assist the Technical Manager and Regional Facilities Managers with equipment condition assessments, Lifecycle, documentation review, and operational insights. Systems & Innovation Utilise the CMMS system to manage work orders, asset information, and maintenance performance metrics. Drive improvements in maintenance processes, workflow efficiency, and data accuracy. Contribute to sustainability and energy-saving initiatives using previous experience in optimisation and reduction strategies. About You: Essential Minimum of 5 years' experience in a technical supervisory role within facilities management or maintenance operations. Recognised trade qualification, preferably Electrical or Mechanical. Strong understanding of maintenance risk, asset reliability and uptime requirements. Demonstrable experience working with CMMS, Energy Management systems and producing maintenance reports. High level of IT proficiency, including Microsoft Environment (CoPilot). Excellent organisational, communication and time-management skills, with a strong attention to detail. Desirable Previous involvement in energy-saving or equipment-efficiency initiatives. Experience working within multi-site contracts or complex technical environments. Personal Attributes Highly organised and detail-focused.
