Optilase is currently hiring both Full-Time, Patient Coordinators. In this role, you will act as the first point of contact for new and existing patients, handling general queries with professionalism and care. You will be responsible for managing appointment bookings efficiently, ensuring a smooth and positive experience for every patient. A key focus of the position is building and maintaining strong, trusting relationships with patients, providing a welcoming and supportive environment from the very first interaction.
Key Responsibilities
* Handle inbound and outbound calls, emails, and social media enquiries in a professional and timely manner
* Book, amend, and confirm appointments using electronic patient record systems
* Assist in minimising non-bookings or cancellations by confidently managing objections
* Work within the set key performance measurements defined by the Team Leader
* Take payments and maintain accurate patient records
* Greet and welcome patients attending consultations or surgery appointments
* Manage patient flow and experience within the clinic setting
* Respond to patient queries and complaints, escalating as appropriate
* Identify opportunities for cross-selling or upselling relevant services
* Comply with GDPR and all data protection policies
* Actively participate in quality improvement, risk mitigation, and patient safety initiatives
* Perform any other ad hoc tasks as required by the business

Required Education, Training, and/or Experience:
* Previous customer service experience (essential)
* Experience in a reception, clinic, or contact center environment (advantageous)
* Familiarity with working toward KPIs or sales targets (preferred)
* Previous administrative experience (advantageous)
