A panel may be formed from which future similar vacancies may be filled; such a panel will remain active for a maximum period of 12 months.** Applicants are advised that this post may continue in a temporary capacity for a longer duration that outlined. Alternatively, it may become permanent at a point in the future, subject to business requirements and necessary approval.Basic Function:The successful candidate will join the Curriculum Development and Standards Unit (CDSU) and contribute to the efficient operation of the unit by delivering high-quality administrative support across its various activities.Background:Teagasc is a leading provider of accredited education and training for the land‑based sector. It delivers further education and apprenticeship training and co‑delivers higher education programmes with universities/technical universities. Teagasc provides training to the agricultural, horticultural, forestry and equine sector. It also delivers continuous professional development to the sector through a series of short training courses.Around 3,600 learners undertake training with Teagasc annually.The Teagasc Curriculum Development and Standards Unit (CDSU) supports academic governance and quality assurance by developing and reviewing education programmes, aligning them with QQI standards and monitoring teaching, learning and assessment.The CDSU ensures Teagasc's national education is high‑quality, industry‑relevant and QQI‑compliant. It leads curriculum design, validation and revalidation of training programmes integrating current research and best practice into the syllabus. The unit also supports staff with guidance and training.By coordinating training in colleges and regional units, it promotes consistency, continuous improvement, quality assurance and excellent learner outcomes across all Teagasc programmes.Job ObjectivesProvide administrative support to the Head of CDSU and the CDSU team.Assist in ensuring CDSU staff adhere to Teagasc policies, governance requirements and internal controls.Organise and schedule meetings using relevant technologies.Ensure that data resources/registers are up to date to provide fit for purpose information.Assist the Head of CDSU with the production of reports.Attendance and report writing for relevant meetings.Assist with the organisation of CDSU events.Assist with internal CDSU processes to include surveys, course exams.Assist with maintaining up to date material on internal and external websites.Provide administrative support for coordination of national in-service training for education staff.Assist in the preparation of budgets and provide support to the Head of CDSU in monitoring income and expenditure monthly.Assist with supplier setup, requisitioning and approving invoices for payment in accordance with financial procedures.Administration of customer accounts: processing credit card payments receipting and credit control as per financial procedures.Assist with the procurement and distribution of workbooks and teaching materials in line with approved contracts and tenders, including supplier negotiation, budget and stock control.Administer starters, movers and leavers processes.Assist with audit procedures, including liaison with Internal/External auditors.Maintain effective file management systems and ensure retention schedules are adhered to in line with GDPR.Actively participate in annual business planning, risk management, and the staff performance and management system processes.Take responsibility for continuous professional development.Support Teagasc in fulfilling the commitments of the Quality Customer Service Charter and Action Plan by adhering to best practice.Ensure full compliance with health, safety, and welfare regulations, cooperating with management to meet legal obligations as outlined in the Teagasc Safety Statement.To undertake other duties as may be assigned from time to time.This job specification is intended as a guide to the general range of duties and is intended to be neither definitive nor restrictive. It will be reviewed from time to time with the post holder.Skills RequirementEssentialDesirableQualifications and ExperienceA Level 5 qualification (or have passed an examination at the appropriate level within the National Framework of Qualifications (NFQ) which can be assessed as being comparable to Leaving Certificate standard or equivalent, or higher.At least 1 year of administration experience.Business/Administration Level 6 qualification.Computer skills qualification, e.g. ECDL/MOUS.SkillsProficient in Microsoft 365.Experience in the use office and accounting systems.Strong administrative and numeracy skills with strong attention to detail.Ability to work as part of a team.Good organisational and time management skills.Strong oral and written communication skills.A commitment to ongoing personal and professional development.KnowledgeKnowledge of further and higher education sector.Ability to organise and structure management information systems and processes to meet organisation needs.Knowledge of Moodle.Behavioural CompetenciesSelf-motivated, committed, trustworthy with ability to prioritise work by importance and urgency.Flexible with an ability to adapt to changing requirements.Excellent attention to detail.An ability to set clear standards and to take a quality customer service approach to work.Ability to work on own initiative and to work collaboratively with others.A proactive, solutions-focused approach to work.A structured approach to work with an ability to work in a confidential environment.Ability to work to strict deadlines.High degree of honesty and integrity.Capacity to build relationships and network with staff, students and stakeholders.Eligibility:This is an open public competition.
