Our client has been designing buildings and environments since 1982; providing design-led solutions that are innovative functional, commercial and highly specific to clients' needs. They specialise in the design and management of fire engineering, mechanical, electrical and transport services to all building types.
Reporting to the Bid Manager / Head of Business Development, our client is seeking a highly experienced Senior Bid Coordinator with advanced graphics skills to take a leading role in the creation, coordination, and production of complex, high-value bid submissions across construction, engineering, data centre,
and infrastructure sectors.
This role sits at the centre of the business development function, combining strategic bid coordination, design leadership, content management, and stakeholder engagement. You will drive the visual quality and operational efficiency
of proposals, ensuring submissions are compelling, compliant, and commercially competitive.
The successful candidate will be a highly organised self-starter with strong leadership qualities, who can manage multiple tenders simultaneously while raising
the overall standard of bid production across the business.
Lead the full bid lifecycle from early engagement and pre-qualification through to final submission.
Develop and manage detailed bid programmes, responsibilities matrices,content plans and submission schedules.
Chair bid coordination meetings and manage internal deadlines across multiple departments.
Act as a senior point of contact between Business Development, Operations, Estimating, Engineering, and Leadership teams.
Set and maintain high-quality design standards for all bid submissions across the business.
Design high-impact visual content including process diagrams, methodologies, layouts, infographics, CV templates, organograms, programme visuals, timelines, and case studies.
Ensure submissions are visually engaging, client-focused, and aligned to corporate brand guidelines.
Ensure all submissions are fully compliant with client instructions and evaluation criteria.
Support and edit technical writers and subject matter experts to improve clarity, structure, and messaging.
Lead proofreading, formatting consistency, and final quality reviews before submission.
Manage secure version control and bid document governance.
Liaise directly with senior management and directors to develop winning strategies for key pursuits.
Support executive presentations, pitch material development, and interview documents.
Provide guidance and mentoring to junior bid coordinators and marketing staff.
Own and enhance systems for bid tracking, content libraries, CV management, and case study databases.
Identify and implement improvements in bid processes, tools, and submission efficiency.
Keep up to date with industry trends and competitor standards in bid graphics and presentation.
Requirements:
5–8+ years' experience in a Senior Bid Coordinator, Proposal Manager, or Bid Producer role within construction, engineering, or a related technical sector.
Advanced graphic design capability with extensive experience in high-quality bid production.
Expert proficiency in: Adobe InDesign Adobe Illustrator Adobe Photoshop
Microsoft Word PowerPoint (advanced formatting)
Proven experience managing and coordinating multiple, high-value bids simultaneously.
Strong leadership, planning, and stakeholder management skills.
Excellent writing, editing, and proofreading abilities.
Ability to perform under pressure and meet tight submission deadlines.
Preferred / Advantageous
Experience supporting €50m+ construction or data centre bids.
Familiarity with Irish and UK procurement processes and tender portals.
Knowledge of MEP / Building Services terminology.
Degree in Graphic Design, Marketing, Communications or similar.
