Job Title: Administrative Professional

We are seeking an experienced and skilled administrative professional to join our team in Limerick. The successful candidate will be responsible for providing administrative support to the Site Project Director and other business partners.

">

The ideal candidate will have a minimum of 1-3 years' experience as an administrative assistant, preferably in the pharma/biotech/medical device industry. They will possess excellent communication and organizational skills, with the ability to work independently in a dynamic environment.

Key Responsibilities:

">
* Provide administrative support, communication management, schedule management, office management and other supportive duties for direct and indirect business partners.
* Direct incoming requests to appropriate personnel; initiate contacts as required; workshop/meeting logistics support.
* Prepare plans with senior document controllers and directors to ensure efficient and effective travel itineraries; manage daily complex diaries.
* Prepare material requirements for travel (assemble binders, pre-reads and agendas); book and prepare travel arrangements/itineraries (registration, ground, air, lodging).
* Work with senior document controllers and directors to ensure good communications (meetings/phone calls) etc are appropriately scheduled and prepared for.
* Respond to all inquiries and contacts in a timely and professional manner.
* Plan events and coordinate activities for small or large numbers of people at events at off-site and on-site locations.
* Process accounts payable/invoices; direct incoming requests to the appropriate personnel.
* Maintain team/meeting distribution lists; prepare correspondence and other materials for outgoing mail.
* Arrange details for visitors to area; maintain organization charts for the department.

Requirements:

">
* 1-3 years + administrative assistant experience ideally in pharma/biotech/medical device industry.
* Ability to work independently with a high level of self-management in a dynamic work environment.
* Managing time to meet multiple demands.
* Advanced competency in Ms Office Suite, Word, Excel, PowerPoint, Outlook.
* Proficient with Electronic Document Management Systems (EDMS).
