Role Overview
Based at our Limerick office and reporting to the General Manager, this role will provide:
* Recruitment process support to our Talent Acquisition Team
* Business support to the Harmonics Management Team
* Office administration to ensure smooth day-to-day operations
This is an office-based role with the option to work from home one day per week.
Key Duties & Responsibilities
a) Recruitment Process Support
Supporting the Harmonics Talent Acquisition Team with client recruitment activities, including:
* Posting roles on search websites, social media, and the Harmonics website
* Providing documentation to candidates (e.g. job descriptions, interview preparation notes)
* Liaising between candidates and clients to schedule interviews, assessments, and medicals
* Conducting reference checks in line with client requirements
* Maintaining and updating the Recruitment Candidate Database
* Reviewing and improving recruitment automation and software to make processes more efficient, accurate, and consistent
b) Business Support – Harmonics Management Team
Providing proactive support to the Management Team with programmes, assignments, and initiatives, including:
* Coordinating client programme activities (e.g. scheduling, room bookings, logistics)
* Managing and updating the CRM database
* Assisting in the preparation of client proposals, programme materials, and documentation
c) Office Administration
* Meeting and greeting visitors and providing phone support to the wider team
* Managing third-party supplier relationships (IT, phone, broadband, etc.) to ensure efficient and cost-effective service delivery
* Overseeing general office administration (supplies, post, and other day-to-day needs)
Education & Skills Required
* Diploma/Degree in Business or related area (desirable)
* 3+ years’ administrative experience with strong organisational skills
* IT savvy with an interest in emerging work technologies
* Ability to manage varied tasks simultaneously, working proactively both independently and as part of a team
* Excellent written and verbal communication skills and professional telephone manner
* Strong proficiency in MS Office Suite and database systems
* High attention to detail
* Excellent interpersonal and relationship-building skills
