Office Coordinator
Location: Cork
Contract: 12-month Fixed Term
Job Description
We are seeking a highly organized and collaborative Office Coordinator to support the day‑to‑day running of our Cork office. The role focuses on coordinating workplace services, managing vendors, and ensuring a seamless employee and visitor experience. The successful candidate will act as the central point of contact for workplace‑related needs, ensuring a safe, efficient, and welcoming environment while driving continuous improvements to the overall employee experience.
Key Responsibilities
Workplace Coordination & Operations
Act as the primary point of contact for workplace queries and requests.
Coordinate third‑party vendors and service providers, ensuring high service standards and SLA adherence.
Support day‑to‑day office operations, including reception duties as needed.
Coordinate logistics such as employee travel to Cork and office‑related bookings.
Vendor & Service Management
Manage relationships with external vendors and contractors.
Coordinate delivery of services (e.g., IT equipment, office supplies), ensuring timely and efficient execution.
Monitor vendor performance and identify opportunities for cost savings.
Health, Safety & Compliance
Support and coordinate health and safety initiatives, ensuring compliance with relevant regulations.
Maintain safety records, coordinate training (e.g., first aid), and support emergency preparedness activities.
Act as a key liaison for fire safety and workplace compliance activities.
Employee & Workplace Experience
Coordinate onsite events, team activities, and office initiatives.
Support internal communications and help bring the Arlo brand to life within the workplace.
Drive continuous improvement initiatives to enhance employee experience.
Projects & Office Planning
Support workplace projects such as office relocation, space planning, and office fitout coordination.
Work with internal stakeholders to ensure workspace solutions meet evolving team needs.
Budget & Administration
Assist with budget tracking, invoice management, and purchase orders.
Ensure cost‑effective delivery of workplace services.
Qualifications
4+ years’ experience in workplace, facilities coordination, or similar role.
Experience managing vendors and service providers.
Knowledge of Irish health and safety regulations.
Strong organisational and multitasking skills.
Excellent communication and stakeholder management abilities.
Ability to work independently in a fast‑paced environment.
Experience supporting office moves or workplace projects is advantageous.
