Job description
We are currently recruiting for a full-time Receptionist. The successful candidate will be a proud ambassador for Bellinter House Hotel & Bathhouse Spa.
Key responsibilities for the role will include:
· To ensure all telephone calls are handled politely and efficiently, ascertaining and
accurately meeting the caller's needs using a client orientated approach.
· Monitoring emails – checking, managing and responding to all emails in reservations inbox.
· Be familiar with the hotel and its history. Be confident directing guests around the different areas of the Hotel.
· Checking guests in and out of the hotel in a professional, friendly and timely manner.
· Create and cancel bookings for overnight stays and dining bookings.
· Liaising with other departments of the hotel to ensure that everyone is on the same page.
· Ensure that the Reception area is clean, tidy and welcoming at all times.
· Be confident using Microsoft Office, Rezlynx, Res Diary and Phorest.
· Liaise with the Events Department regarding wedding and function bookings.
· Providing excellent customer service to all guests of the hotel in person and via telephone and email.
· Balancing cash and end of shift report at the end of each shift.
· Ensure that you have completed your shift checklist and filed this in the checklists folder at reception.
· Create Groups and Input Wedding and Function Rooming Lists on Rezlynx. Liaise Closely with the Event Departments for Wedding and Function Room Bookings.
· Ensure that all Reception Team Members are Happy and Confident in Their Roles. Provide any Necessary Training and Advise on Any Issues that they Encounter.
· Ensure that Reception Team Members are Carrying out their Duties in the Correct Way. Check that their Shift Checklists are Being Completed Daily and That they are being filed in the correct folder.
· Record and Manage Reception Team Members Training Logs.
· Have a 'Can Do' Attitude and Be Willing to Help and Assist in Any Extra Duties that May Be Required.
· Develop SOP's for Front Desk Team and Night Porters.
· All Team Members should have a Mutual Respect for Each Other and Ensure They Treat Each Other with Respect and Dignity at all times.
· To report and log any accidents and follow up with guest/staff member as appropriate.
· To report any trip hazards.
· Train and maintain records for all staff.
· Ensure all staff get appropriate breaks and rest periods as per the work time directive.
· Ensure the dignity and respect of all staff.
· Identify training needs in department and flag it with HR.
· To carry out any reasonable request by management.
· Have a 'Can Do' attitude and be willing to help and assist in any extra duties that may be required.
· To have up to date knowledge of the hotel products and services.
· To handle all enquiries promptly, ensuring the customer receives a friendly, professional and efficient response that accurately meets their needs.
· To handle all reservations through different channels (via email/telephone/ websites)
· Welcomes guests as soon as they arrive with great care and attention
· Anticipates guests' needs and follow through with guest requests
Reception shifts as per schedule, over a 7 day period, including weekends, early/middle and late shifts. Candidates wishing to apply should have system knowledge of a Hotel PMS System, Hotsoft / Guestline System is essential.
