Job descriptionThe CompanyOIC Cleaning was established in 1982 by Frank McEwen, initially as a commercial cleaning specialist. Since that time, the company has continued to grow and currently has over 180 employees, remaining one of the largest and most successful Irish Family-owned cleaning contractors' company in Leinster.Purpose of the RoleWe are currently recruiting for an Assistant to Office Manager on a Part-time Contract. This role is reporting to the Office Manager and assist day to day Office admin duties.Main duties include but are not limited to:· Support all aspects of day to day running of business providing administration support to Managing Director, General Manager, Office/HR & Quality Manager, Accounts, Sales & Marketing, Client Services Managers and Industrial Departments· Work with various departments within the company ensuring compliance with the ISO Quality Management System requirements and audit requirements· Accounts – raise purchase orders, ensure Purchase Orders are issued for all orders and follow up regarding the relevant PODs, assist the Accounts Manager when requested· Weekly scheduling – completing the various weekly schedules ensuring all details are correct and any anomalies are highlighted to the relevant Managers· Update Fieldmotion system assisting all Managers to ensure that data is accurate and up to date.· Provide support and guidance on our Fieldmotion system (training will be provided).· Office Administration including assisting on Issuing of quotations, follow up phone calls, get written confirmations, new account forms completed· Sales Administration – assisting Sales Manager with daily quotes and all aspects of sales administration.· Other duties as requiredSenior Office Administration experienceMin 1 years experienceKnowledge of Microsoft Office & ExcelKnowledge of Sage an advantageExcellent Organisational SkillsJob Type: Part-time 20/25 hours a weekSchedule:Monday to Friday - afternoon shiftAbility to commute/relocate:Rosemount Business Park, Dublin 11, CO.
