Workplace Experience Administrator
We are seeking a highly organized and detail-focused individual to join our team as a Workplace Experience Administrator. This is a 6-month contract opportunity with a competitive salary range of €32,000 - €36,500.
The successful candidate will be based in our office in Dublin City Centre, which offers a hybrid work environment.
Key Responsibilities:
Administrative Support
* Process payments for workplace experience activities, including POs, invoices, and credit card transactions.
* Manage travel requests and bookings for colleagues.
* Coordinate taxi and courier services for colleagues.
* Serve as the primary point-of-contact for the workplace experience mailbox.
* Update and maintain company documentation as needed.
Facilities Support
* Assist with clearing out our current office, including scanning, shredding, and organizing documents.
* Provide administrative support for facilities contracts for both our current and new offices.
* Support the setup of our new office on-site.
* Contribute to developing new office procedures and documentation for our new office.
Meetings & Events
* Support staff events by preparing facilities, arranging catering, and coordinating logistics.
* Help coordinate events on our internal communications plan.
* Liaise with external suppliers regarding meeting arrangements.
* Act as the point-of-contact for all external parties attending meetings and events.
Wellbeing & Internal Communications
* Coordinate wellbeing events and tasks according to our wellbeing calendar.
* Support wellbeing updates and newsletters.
* Assist with rolling out wellbeing initiatives.
Requirements:
* Proven administration experience in a similar role.
* Proficiency in MS Office, including Excel, Word, Outlook, and PowerPoint.
* Excellent verbal and written communication skills.
* Demonstrated organizational skills, with strong attention to detail.
* Ability to adapt to changing deadlines and priorities.
* Self-motivation and willingness to take responsibility for your work.
* An organized approach to work, with effective prioritization skills.
Nice-to-Haves:
* Experience in facilities management.
* Able to work independently with minimal supervision.
