Role Overview
As the Office Administrator, you will support the leadership team in a broad range of administrative and coordination functions, including bid preparation, document control, office management, and internal support.
You will work closely with the Managing Director and senior stakeholders to ensure smooth day-to-day operations and high-quality documentation aligned with ISO and internal standards.
Bid Preparation & Proposal Coordination
Assist in the development, formatting, and submission of bids, tenders, and capability statements.
Coordinate inputs from technical teams and ensure proposal documentation aligns with client and compliance requirements.
Maintain a library of up-to-date templates, project case studies, and CVs.
Administrative & Document Support
Assist in the preparation and coordination of bids, tenders, and proposals.
Manage company documentation and maintain accurate records, including ISO-compliant processes.
Oversee document control procedures and ensure traceability and version control.
Ensure timely updates and circulation of controlled documents and registers
Office & Executive Support
Provide day-to-day support to the Managing Director, including scheduling, communication, and presentation preparation.
Manage office logistics, supplies, vendor liaison, and general administrative support.
Internal Coordination
Support internal meetings with preparation of agendas, minutes, and follow-ups.
Coordinate across departments to ensure timely submission of documentation.
Assist with travel arrangements, events, and internal reporting as needed.
Serve as the first point of contact for visitors, contractors, and general office communications
Key Requirements
3+ years' experience in an administrative, document control, or executive support role.
Strong working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Familiarity with ISO documentation standards and version control systems.
Excellent written and verbal communication skills.
Strong organisational skills with attention to detail.
Ability to work independently and manage multiple priorities.
Experience supporting leadership or senior executives is an advantage.
Excellent communication, organizational, and project management skills.
