Role description:
The Purchasing Administrator will be responsible for managing, controlling, and supplying Packaging & Ingredients to support the Production Plan. This role involves implementing pricing & terms as agreed with Suppliers. It is ideal for a recent graduate seeking to enhance their skills and advance their career in Purchasing/Procurement. You will work in a fast-paced environment, engaging in various projects that cover all aspects of our business. The successful candidate will have the opportunity to specialize in categories aligned with their strengths and interests, such as purchasing ingredients, involvement in new product development, or purchasing packaging items with input in graphic sign-off.
Area Description:
Our Purchasing team is central to our business operations. They ensure the procurement of high-quality products for our customers while complying with all legislative and regulatory requirements for food processing. The team adheres to the core principles of purchasing at O'Brien Fine Foods, which are continually reviewed for effectiveness and improvement. Empowering staff and fostering ownership of their roles is a key objective. Our aim is for our suppliers to operate under the same principles, delivering quality products cost-effectively.
Duties And Responsibilities:
1. Develop knowledge within the Material Category by engaging with Suppliers to understand material sources, manufacturing methods, etc., and understanding material requirements within site processes.
2. Collaborate with Technical/NPD & Finance on New Product setup, ensuring data accuracy and proper linkage to relevant planning and purchasing tools.
3. Manage procurement activities for Packaging & Ingredients, focusing on quality, innovation, price, and legislative compliance.
4. Participate in ongoing training and development.
5. Handle Supply/Demand Alignment, Material Replenishment, and Supplier Performance.
6. Support the Purchasing Manager in working within departmental and indirect budgets.
7. Manage Supplier relationships, provide forecasts, oversee supply chains, and handle administrative tasks related to POs, order receipt, and invoice queries.
8. Ensure material supply aligns with Business Rules.
9. Maintain 'Internal' Service Level KPIs for Supply Chain.
10. Ensure accurate data flow from the Bill of Materials database to production and purchasing systems.
11. Manage obsolescence by identifying high-risk or unique Packaging & Ingredients and overseeing their supply.
12. Provide data to the Finance Team for timely Gross Margin & KPI reporting.
13. Collaborate with Supply Chain and other departments.
14. Resolve disputes and claims with vendors and suppliers.
15. Participate in cost reduction projects.
16. Maintain the Supplier Scorecard.
17. Ensure full participation in implementing company policies.
18. Maintain the BOM (Bill of Materials).
19. Work with IT Systems Developers, recommending system and process improvements.
20. Flexibility to cover cross-departmental roles such as Planning and Dispatch, including shift and weekend work.
Essential Competencies:
The ideal candidate will have significant experience and knowledge in:
* Ingredients and/or Packaging (advantageous)
* Qualification in Procurement/Supply Chain/Food Science (preferred)
* Excellent written and verbal communication skills
* Strong self-discipline and structured approach
* Problem-solving abilities
* Excellent numerical skills for data analysis
* Ability to identify and plan improvements meticulously
* Proficiency in Microsoft Office (Word, Excel, Access)
* Flexibility, adaptability, and a positive attitude in change
* Effective communication skills facilitating top-down and bottom-up channels
Candidate Experience:
Experience in a similar FMCG role is advantageous. Qualifications in Procurement, Supply Chain, or Food Science are desirable. Fluency in English, high attention to detail, and excellent organizational skills are required. Evidence of leadership and willingness to learn is also important.
