Executive Assistant to the CEOUnparalleled Exposure & Strategic ImpactPermanent - Hybrid (2-3 days onsite) - South Dublin - Fast Paced - Must be a team-player - Great Culture - Must have experience supporting C-Suite - Salary circa €65,000 - €70,000 + bonus + benefitsWe are seeking an exceptional Executive Assistant ready to combine traditional support role and become a strategic partner to a CEO operating at the forefront of a leading company. This is a unique opportunity to join a company experiencing an exciting period of growth and change, working directly with international stakeholders and some of the most impressive names in the industry.This role is for a highly experienced and proactive Executive Assistant to support their remarkably busy CEO. This isn't just support role; it's a chance to take full ownership and responsibility for key aspects of the CEO's professional life, acting on your own initiative to ensure preparedness, anticipate problems or needs and drive success. This position requires somebody with experience resolve issues swiftly, acting on the spot and proactively managing a dynamic workload.Reporting directly to the CEO, this role offers unmatched exposure and demands a candidate who views executive support as their second nature, now seeking a greater challenge and responsibility. This Executive Assistant will be crucial in driving the overall effectiveness of the management team, ensuring strategic alignment of plans and activities to meet business objectives and actively contributing to the creation, management and execution of their business growth strategy.Key Responsibilities & Impact:Strategic Alignment & Business Growth: This role plays a huge role in collating and reviewing plans, identifying synergies and building alignment to their strategy. This includes preparing brief requirements, collating materials for, and creating presentations on key business focus areas, as well as supporting the CEO and CFO with analysis of the competitive landscape, gathering insights, and researching to support business activities and growth opportunities.The expectation will be that the Executive Assistant will maintain a central view of strategic activities and priorities, monitoring progress and status and making timely and actionable recommendations to ensure plans and actions remain on track.CEO Leadership & Effectiveness: The Executive Assistant serves as the first point of contact for the CEO, I don't think I need to emphasize the need for gatekeeping, but it is about more than just that. You'll use your strategic mindset to focus CEOs time on the right activities, proactively and promptly reviewing and tracking incoming inquiries, responding directly or advising on responses. This also includes handling correspondence, prioritising and responding as appropriate and bringing information to the attention of the CEO or senior management as necessary.Expertise will be essential in maintaining a coordinated and up-to-date calendar, determining urgency, making necessary arrangements, resolving time conflicts and ensuring the calendar and diary are prioritised according to changing demands. You'll also ensure the CEO is briefed and has the required materials ahead of time for both internal and external meetings, with forward planning to ensure actions are prioritised, completed and meetings are scheduled.High-Level Project & Communication Management: This role provides critical project support, conducting research, reviewing and summarising reports, presentations, and documents suitable for presentation at Board level. This is the kind of company where all hands are on deck, and everybody works to achieve shared goals, so communication is essential. This role will include preparing briefing notes, reports, internal/external correspondence, memos and creating presentations and other packs/materials as required by the CEO. The ability to distil high volumes of complex information into simple PowerPoint presentations and reports is crucial.Proactive Ownership: Beyond administrative excellence, you will be empowered to take initiative, anticipate needs and manage competing demands autonomously in a fast-paced, ever-changing environment. This includes coordinating and preparing commercial and contract documentation for signing, maintaining filing systems and company records for the CEO and ensuring follow-up actions are progressed. You'll be the main point of contact for internal and external queries.Who We Are Looking For:We seek a seasoned professional with at least 5 years of extensive experience as a senior EA to C-suite within a fast-paced, agile environment.Advanced Microsoft Office skills, particularly Word, Excel, and PowerPoint and is competent with DocuSign and Adobe Software (or similar - all transferable skills).Exceptional organisational skills, a high level of accuracy, efficiency and strong attention to detail are essential.The ideal candidate is a self-starter, capable of acting on their initiative and proactively managing competing demands and pressures to ensure effective prioritisation. They work collaboratively with a range of colleagues in the wider organisation, as well as with external stakeholders, and have good experience in establishing positive and productive relationships at all levels. Demonstrable experience in working with highly sensitive business communications, data and other information with confidentiality and discretion is required. The ability to work in a fast-paced, dynamic environment, requiring high levels of flexibility and adaptability and willingness to deal with issues as they arise. The role requires resilience and a personable demeanour, with an ability to deliver a high output of work reliably in a busy environment.Remuneration & Benefits:An attractive compensation package, commensurate with the seniority and strategic importance of this role, will be offered to the successful candidate. This includes a competitive base salary around €65,000-€70,000 and a performance-related bonus.In addition to your salary and bonus, additional benefits apply such a pension contributions (commencing after 12 months of service), contributions towards medical cover, and other perks apply.Additional Information:This role does not meet criteria for a Critical Skills permit.
