Are you our next Markets Administrator / PA to CMO?

Location: Dublin, as part of our hybrid working model.

Grade: Assistant

Contract type: Permanent

We are currently seeking to hire a Marketing Administrator/Personal Assistant, to join our Markets department on a permanent basis to assist in the administration of our Markets function and to provide administrative/secretarial support to the CMO.

This role will suit a bright, energetic, motivated and self-directed person, who enjoys a busy and varied working day. Critical to this role is the possession of exceptional organisation and planning skills, a structured approach to administration management, and an eye for attention to detail.

* Excellent interpersonal skills, a high degree of enthusiasm and adaptability
* Advanced PC skills including Word, Excel and PowerPoint;
* Experience with organising Outlook calendar/email inbox on behalf of others;
* Proficiency at handling and processing invoices, expenses, budget reports, data-base updates etc
* Prioritising work using time management and organisational skills – must possess excellent written and numeracy skills, strong attention to detail and a sense of urgency;
* Excellent administration skills with an ability to work in a self-directed manner, on day-to-day duties;
* A high degree of enthusiasm, flexibility and reliability;
* A good team player, who enjoys achieving personal and team-based successes
* Highly discreet and confidential.


Your responsibilities and achievements will evolve as you enhance your career with us. Here is what you can initially expect:

CMO Support

* Responsible for managing all aspects of the CMOs diary, meetings, travel arrangements, expenses processing, time-sheet updates and related tasks.
* Scheduling regular meetings with key internal stakeholders and arranging the preparation of meeting materials, decks and presentations etc for these meetings.
* Assisting with the preparation of regular Markets reporting decks for leadership.


Administration

* Processing invoices and producing reports on spend and budget.
* Responsible for setting up team meetings and presentations including room bookings, audio visual and catering requirements, both at the office and offsite.
* Managing senior team travel requirements, creating purchase orders and confirming travel arrangements.
* Ordering stationery and maintaining supplies of stationery and marketing collateral within the marketing department and at receptions in our offices.
* Managing delivery and distribution of marketing collateral, merchandise etc.
* Liaison with both internal and third party suppliers in relation to merchandise, promotional collateral and venue bookings etc


Internal engagement

* Assisting the CMO/Markets team to create and disseminate internal communications on the marketing automation platform
* Monitoring responses to event invitations/stats/open rates and providing reports and updates for the marketing team.
* Maintaining and updating the firm’s internal online database (viper).


Events Support

* Booking and allocating tickets for a range of events.
* Managing ad-hoc queries relating to corporate hospitality.
* Helping the events and sponsorship team with admin tasks as required, in relation to important firmwide strategic events and hospitality initiatives. e.g. Taste of Dublin, Champion Stakes, Christmas Pantomime, KPMG Womens Irish Open
* Maintaining and ordering merchandise and branding stocks and supplies.
