Job Title: Fleet Optimization Specialist
About the Role:
Fleet optimization is a critical component of modern business operations. As a Fleet Optimization Specialist, you will play a key role in ensuring the efficient use of company assets, streamlining administrative processes, and maintaining accurate vehicle data.
Main Responsibilities:
* Ensure timely receipt of new vehicles onto the fleet, optimizing utilization and reducing downtime.
* Order new vehicle stock and customer orders promptly, minimizing delays and improving customer satisfaction.
* Maintain accurate vehicle order updates for sales teams, enabling informed decision-making and enhanced collaboration.
* Complete internal Fleet Audits efficiently, identifying areas for improvement and implementing corrective actions.
* Paperwork preparation and distribution of new vehicle tax discs, ensuring compliance with regulatory requirements.
* Semi-cap arrangement for new vehicles, balancing budget constraints with operational needs.
* Pricing non-core vehicles, making informed decisions to optimize revenue streams.
* Filing and record-keeping for the Asset Department, maintaining transparency and accountability.
* Preparation and distribution of biweekly de-fleet plans, ensuring seamless transitions and minimizing costs.
* Data entry and management on the company operating system, providing real-time insights and facilitating data-driven decision-making.
* Vehicle asset data accuracy and location tracking, enhancing visibility and control over company assets.
* Coordinating fleet induction from on-hire date, ensuring smooth handovers and minimizing disruptions.
* Collaboration with internal departments for effective partnerships, fostering a culture of teamwork and cooperation.
* Effective communication through professional written materials and presentations, conveying complex information in a clear and concise manner.
* Supporting fleet management processes, including acquisition, utilization, and replacement, ensuring long-term sustainability and efficiency.
* Reporting and presenting asset management insights, informing strategic decisions and driving business growth.
* Coordinate work with external parties, maintain relationships, and identify opportunities for cost reduction and process improvement.
* Business activity reports and forecasts preparation, providing actionable intelligence to stakeholders.
* Cost reduction strategies identification, leveraging expertise and data to drive efficiencies and reduce waste.
Requirements and Qualifications:
* Proficient in MS Office systems (Outlook, Excel, Word, etc.)
* Strong planning and organisational abilities
* High attention to detail and desire to deliver quality work
* Good numeracy and mathematical skills
* Proven multitasking and independent work capabilities
* Strong customer focus and stakeholder interaction skills
* Ability to manage multiple tasks under pressure and meet deadlines
* Able to work independently, set priorities, and drive projects forward
* Demonstrated interpersonal and presentation skills
* High-level problem-solving, analytical, and decision-making skills
* Positive attitude, integrity, and cultural awareness
* Fleet and Vehicle knowledge advantageous
* Vehicle taxation knowledge beneficial
* Business, management, accounting or related degree preferred
* Experience in managing capital assets (fleet/equipment/facilities) or equivalent desired
