Spare Parts & Warranty Administrator6mth Contract We are looking for an organised and detail-driven Spare Parts & Warranty Administrator to support the day-to-day administration of spare parts and warranty activities.
The role focuses on accurate order processing, warranty tracking, invoicing support, and clear communication with customers, suppliers, and internal service teams.
Main responsibilities: Manage spare parts & warranty queries from customers in a professional and efficient manner.
To identify spare parts effectively via online factory resources across all divisions and providing the customer with a quote & lead time on the parts.
Process parts details onto system to provide information and pricing to enable effective ordering.
Providing the customer with tracking & proof of deliveries for their order.
Liaising with head office regarding stock, lead times & queries on parts that are out of stock.
Resolve problems to customer satisfaction in a timely fashion.
Resolving any invoicing queries relating to spare parts & warranty.
Creating returns for parts that are to be returned to the warehouse Submitting labour invoices for customers.
Develops and maintains excellent working relationships with all departments and team members.
Communicates professionally and effectively with customers by email, phone and online platforms.
Raise sales orders, purchase orders and invoicing to customers.
Proactively contributes to departmental meetings, suggests ways which will enhance the effectiveness and efficiency of administrative functions, system processes and procedures Processing of Field Service engineer spare parts returns, both new and used.
Maintain warranty and returns logs and support clearance of work-in-progress.
Processing of returns to designated factory - new parts, warranty and service exchange.
Your Profile Experience in spare parts, warranty administration, (HVAC, engineering, OEM, or technical services environment preferred) Confident using SAP, MS Office.
Able to identify skills applied in either parts, warranty or service departments Strong organisational and data-entry skills with high attention to detail Capable of working independently or as part of a team Professional communication skills and a flexible approach to work If you are living in Ireland and hold a VALID WORK PERMIT, we would love to hear from you, if however, you do not hold a valid work permit unfortunately we will not be in a position to assist you with your job search.
