About the PositionReporting into Office Manager – Dublin, the purpose of this role is to provide high level administrative support in Dublin Administration & Facilities team. The role also covers all aspects of support required for the improvement of client experience, and other projects assigned by the manager. Key ResponsibilitiesThe role will be wide ranging and varied and responsibilities will include:Coordinate daily workplace operations including facilities, office supplies, vendor services, and maintenance.Proactively monitor the Facilities inbox, ensuring prompt and effective action on facilities-related matters. Maintain timely resolution and clear, professional communication with relevant stakeholdersBuilding access managementMonitor the Building Management System (BMS) to identify and escalate any issues impacting workplace operationsSupport health & safety compliance, emergency procedures, and sustainability initiatives.Coordination of Dublin office onsite services - catering, cleaning, porter, IT, EAs, et al.Vendor management tasks for key onsite services Liaising with 60 Dawson building management team – Building Reception, Security, MaintenanceOffice-wide events supportCommunicate office service & facilities updates via Teams channel/emailMaintain safe and clean office environment and client facing area by complying with procedures, rules, and regulationsDublin office employees onboarding/offboarding supportTravel assistance for the Dublin Staff and Group visitors including flights, ground transfers and hotel reservationsVisitor support including Visitor Log & seatingProvide absence/backfill support for the wider Reception and Admin & Facilities team in DublinCandidate Skills & QualificationsPrevious experience working in comparable positions, ideally within the Finance & Insurance industry. Minimum 2 years' experienceStrong working knowledge of the Microsoft Office suiteExperience in coordinating workplace services and facilities maintenanceExperience in coordinating eventsGood working knowledge of workplace duty of care and health & safetySelf-initiating team player who enjoys collaborationFriendly, positive, and excellent communicator who is able to work effectively across the organisation and enjoys creating high standard experiences for our clients, team, and visitorsCustomer & Client Focus - listen actively and clarify needs, keep stakeholders informed on progress and deliver on promise, offer solutions and seek to exceed expectations, follow up and confirm requests are fulfilledAttention to details and organisationAbility to handle and prioritise tasks for based on business criticality and time-sensitivityAbility to remain flexible while adapting to changesAbility to maintain discretion and confidentiality.We believe that meeting these requirements will position you for success in the role.
