TITLE: Purchasing Assistant
REPORTING TO: Head of Procurement
LOCATION: Work from Home / Office
Role Summary:
The Purchasing Assistant is responsible for purchasing materials and plant equipment according to the company's business requirements, adhering to best practices and policies, ensuring cost-effectiveness and timely delivery. To provide comprehensive administrative support, ensuring all processes are carried out to the highest standards and within set deadlines.
Key Functions & Results Areas (Key Activities):
Main Responsibilities:
Order Processing
* Assist in placing orders according to company procedures, ensuring they are clear, concise, and include a stated value.
* Address order or supplier queries from team members or suppliers.
Freight
* Support the coordination of all company freight requirements in the most cost-effective manner, ensuring timely delivery to sites.
Order Confirmations
* Verify order confirmations against issued purchase orders, to highlight and correct discrepancies before delivery and invoicing.
Plant Register
* Assist in maintaining a central Plant Register, ensuring accurate listings of all equipment on sites.
* Update Boxcore in real-time, with any new hires &/or off-hires.
Invoice Queries
* Help with resolving any invoice queries in accordance with company procedures and department KPIs.
Order Registers
* Under guidance, reconcile the order registers with the purchasing software monthly.
New Suppliers
* Assist with setting up new supplier accounts. Complete credit applications and ensure the QF-38 Supplier Information Form is completed by new suppliers and details are added to the QF-39 Supplier Classification Report.
Strategy and Development
* Consolidate purchases of materials where possible to achieve maximum economic benefit.
* Position opportunities with suppliers with whom we have trading agreements.
* Develop an understanding of products and systems purchased.
General and Task Management
* Be conversant with all buying department processes, systems, and KPIs.
* Perform duties as instructed by line management.
People Management
* Support other departments as needed, attend meetings, initiate correspondence, and review incoming correspondence.
Relationship Management
* Establish relationships with supply chain partners.
Self-Management
* Comply with the company’s Health & Safety policies, procedures, and rules.
* Understand and maintain the Crown brand in all dealings.
* Maintain Crown's reputation with clients and suppliers, ensuring professional relationships at all times.
Person Specification:
* Effective communication skills
* Excellent IT skills, including proficiency in Excel, Word, PowerPoint, and Outlook.
* Familiarity with Microsoft Project
* Excellent organizational skills
* Strong team player
