Personal Assistant/Office Administrator, Dublin Office
Artmax is seeking a Personal Assistant/Office Administrator to join their Directors' Office team in Dublin.
The Director's Office team serves as right hand to Chairman / CEO of the family office, managing daily tasks and personal requests. As a Personal Assistant supporting a family office, you will operate in a world where standards are uncompromising, expectations are elevated and every detail matters. You will join a trusted Family Office known for high standards, privacy and excellent service.
Job Description
1. Provide full spectrum of secretarial support to the Chairman / CEO's office.
2. Manage calendar, arrange meetings & events spanning multiple time zones.
3. Coordinate family and household affairs.
4. Manage inbox and handle confidential information with utmost discretion.
5. Organise travel for Chairman's business and family trips including flights, transport, hotels, itinerary planning, visa applications, etc.
6. Assist Office Manager in handling office operations including office supply procurement, company equipment management and facility management, etc.
7. Assist in coordinating courier services.
8. Coordinate with property management agencies, vendors, contractors of Chairman's residential properties regarding property maintenance, renovation, etc.
9. Assist Management in liaising with internal and external parties for the company's business activities and project management, etc.
10. Collaborate within the Director's Office team and with different teams across multiple time zones, maintaining a harmonious and efficient ecosystem.
11. Provide cover for other PAs during their leave periods.
12. Perform any other duties commensurate with the position as the Company may reasonably direct.
Skills and experience
1. Bachelor's degree or above
2. 2-3 years of working experience in a similar role
3. A good team-player, responsible, discreet with meticulous attention to detail and the ability to plan proactively
4. Excellent organizational skills, demonstrated independence and the ability to make decisions in fast-paced, high-stakes situations.
5. Strong verbal and written communication skills
6. Proficient in MS Office (Outlook, Teams, Words, Excel, PowerPoint, etc.)
7. Clean driving license desirable
8. Working proficiency in Mandarin/Cantonese desirable
