The Role
Portobello Institute is seeking an Integrated IT Systems Administrator to support the reliability, security, and integration of the Institute's core digital systems during a period of growth.
This role is responsible for the administration and optimisation of key platforms including Moodle (VLE hosted on AWS EC2), Classter (SIS), and Microsoft 365 / Azure AD. The post-holder will also maintain and enhance integrations with HubSpot, Stripe, Xero, and other enterprise tools, ensuring data flows are secure, accurate, and fit for purpose.
The role underpins operational efficiency, student experience, and data-led decision-making across the Institute. It suits someone who combines strong technical capability with a collaborative, service-oriented approach and who values clarity, accountability, and continuous improvement.
Key Responsibilities
Systems Administration & Reliability
* Administer and monitor AWS-hosted Linux environments supporting Moodle, ensuring uptime, patching, scalability, and backups
* Manage AWS services including EC2, S3, IAM, CloudWatch, and Route 53
* Liaise with external vendors on upgrades, performance tuning, and incident resolution
* Implement and test disaster recovery procedures and maintain system documentation
* Monitor system usage and plan capacity in line with student numbers and business growth
* Identify opportunities for cloud and licensing cost optimisation
Integration, Configuration & Automation
* Maintain and enhance integrations between Classter, Moodle, Microsoft 365 / Azure AD, HubSpot, Stripe, and Xero
* Translate academic and operational requirements into technical configuration or automation
* Build, test, and document workflows using Power Automate, Azure Data Factory, or similar tools
* Automate user provisioning, enrolment updates, reporting, and notifications
* Develop and maintain Power BI dashboards providing insight into student engagement and system performance
* Support Finance through improved data integration and reconciliation processes
Security, Compliance & Data Integrity
* Manage identity and access controls across all core systems
* Maintain secure configurations aligned with GDPR and institutional data protection standards
* Monitor logs and alerts and respond to incidents appropriately
* Support periodic access, security, and data-quality reviews
* Contribute to audit readiness and compliance activities where required
Collaboration & Support
* Provide first and second-line support for IT systems and configuration issues
* Work closely with Admissions, Academic Operations, Finance, and Marketing to improve digital processes
* Maintain clear SOPs, admin guides, and troubleshooting documentation
* Participate in cross-functional initiatives to test and improve digital capability
* Share technical knowledge and best practice across the Institute
The Person
You will bring a strong belief in the role technology plays in supporting education and student experience. You work in a structured and considered way, communicate clearly with non-technical colleagues, and take pride in delivering reliable, well-documented systems.
Essential
* Degree or equivalent experience in Computing, Information Systems, or a related field
* Proven experience administering AWS-hosted systems, ideally Moodle or similar platforms
* Strong experience with Microsoft 365 and Azure AD
* Hands-on experience with automation and reporting tools such as Power Automate and Power BI
* Understanding of APIs, data integration, and scripting (REST, JSON, SQL)
* Relevant AWS, Azure, or Power Platform certification, or equivalent hands-on experience
Desirable
* Experience in a higher education or learning-technology environment
* Familiarity with systems such as Classter, HubSpot, Stripe, or Xero
* Exposure to ISO 27001 or structured information-security frameworks
