The Iveagh Trust is the oldest provider of social housing in Ireland, building sustainable communities since 1890. The position of Property Services Administrator is central to the Trusts excellent service it provides to the tenants that live on our estates. The Trust now wishes to add to the Property Services Team by recruiting a full-time Position:Property Services Administrator Reference:PSA022026 Location:Kevin Street, Dublin 8. Reporting to:Head of Property Services Hours:32.75 hours per week. (hybrid working and flexitime available) Probationary Period:6 months Principal tasks & responsibilities Core responsibilities Support the Property Services team with day-to-day administration across response maintenance, voids and cyclical programmes. Log and update jobs accurately on JobLogic (our repairs ordering and maintenance management system), ensuring correct job details, notes, attachments, categories and status updates. Assist with scheduling and coordination of cyclical servicing activities with service providers, including tracking progress and follow-ups. Maintain organised digital records across each service category (contracts, service reports, compliance certificates, photos and correspondence). Maintain a live contractor list and onboarding documentation, including insurance records and key compliance information. Support the upkeep of service logs and trackers, ensuring records are current and audit ready. Support the organisation of maintenance meetings, including agendas, actions and follow-ups. Assist with periodic reporting (weekly / monthly / quarterly) by compiling summaries from JobLogic and internal trackers. Support communication with tenants or Estates teams where required, providing clear updates on maintenance progress. Resource planning and coordination support Receive and log maintenance requests from Estates and internal teams, ensuring all requests are recorded accurately and passed to the appropriate person. Assist with maintaining forward schedules of works, supporting the Maintenance Supervisor / Property Services team with planning and coordination. Assist with basic stock and equipment administration on JobLogic (our repairs ordering system) where required, ensuring records remain Health & Safety Meet all your responsibilities, as an employee of the Iveagh Trust, as outlined in the Safety Statement and in fulfilment your obligations under the Safety, Health & Welfare at Work Act 2005. Use required PPE as required. Report all health and safety issues/concerns in a timely manner. Participate in all scheduled Health and Safety training. Qualifications & Knowledge / Expertise Essential: Previous experience in an administrative role A high level of IT Literacy with a strong working knowledge of Microsoft Office packages Confidence dealing with contractors Experience within the social/affordable housing sector Experience of complaint handling and working with members of the public Knowledge of reactive repairs and maintenance methods Desirable: Knowledge of servicing contracts Knowledge of computer aided facilities management software Understanding of risk management and compliance within the role Knowledge of OSH Safety Health & Environment.
