Inland Fisheries Ireland has a new role for a Corporate Services & Compliance Administration Support to join our team in Finance & Corporate Services.

This role is required to provide shared administration support to the Corporate Services team and provide customer service support in IFIs main office Citywest

The position offers an exciting opportunity for an administration professional to ensure that the corporate services team run smoothly and efficiently. In this role you will provide administration support to the Compliance (including Board Secretariat), Field Services, Communications and Logistics teams.


KEY RESPONSIBILITIES

* Providing general administrative support to the Corporate Services Managers to ensure efficiency, compliance and adherence to deadlines
* Assist in the effective management of finance, compliance, logistics and communications.
* Liaising with contractors regarding site visits and maintenance
* Support the organisation of internal and external activities/events, collating and recording defined information documentation as requested
* Assist in the asset management and disposal to ensure compliant and efficient management of IFI’s assets, as required
* Provide support for the general administrative function in Citywest Headquarters as needed, including providing front of house and reception services as required.
* Manage own work from start to finish adhering to deadlines.
* Attending meetings, taking minutes, and typing of all forms of correspondence
* Provision of finance administration ensuring proper records are kept including, purchasing, dealing with invoices, generating payment requisitions, purchase orders, fixed assets (updating register, tagging, stock checks etc.) debtors, petty cash, lodgements, sales and rates invoices, costing of projects and ad hoc reports, creditors reconciliations and other control accounts, tax matters etc.
* Prepare reports and other materials, using standard and some non-standard formats and software
* Produce management information from data and/or statistics in order that accurate and reliable information is available for unit/departmental decision making.
* Provide administrative support for events, i.e. conference, seminars & training, using ahigh degree of personal initiative and responsibility
* Develop and maintains spreadsheets and simple databases, including shared databases/spreadsheets on an intranet platform.
* Arrange for on-going maintenance and repair of offices, equipment.
* Work with new technologies introduced.
* Provisions of data and information to departmental colleagues as required
* General ad hoc duties as required

KEY KNOWLEDGE & EXPERIENCE

The ideal candidate will have the following;


Essential

* A recognised third-level qualification at a minimum level of NFQ Level 7, or equivalent
* A full Category B driving licence that is valid in Ireland
* A minimum of two years’ relevant experience in an administrator administrative role


Desirable

* Business administration qualification
* Pension and payroll experience
* Previous experience working in a large / complex or public sector organisation
* Previous experience in project or programme support
* Demonstrable experience of facilitating in-person and online engagement/training


SKILLS & ATTRIBUTES


Essential

* Excellent Administration Skills - IT literate (Microsoft Office suite) coupled with exceptional attention to detail
* Be capable of providing high quality customer / stakeholder experience
* Excellent Time Management Skills - ability to prioritise, to manage own workflow and to use own initiative
* Strong communication, interpersonal and organisational skills to build positive and effective relationships
* Be a strong team player who can remain positive during challenging tasks and work under pressure
* Flexibility and ability to balance cyclical daily, weekly and monthly demands with other work requirements


Desirable

* Demonstrate a high degree of confidentiality and common sense
* Proactive approach, learns quickly and is adaptable to change
* Analytical thinking and interested in innovative approach to problem solving


LOCATION

This role may be based at any of IFI’s regional offices; Citywest, Dublin / Clonmel, Tipperary / Macroom, Cork / Limerick City, Limerick / Ballina, Mayo

Inland Fisheries Ireland is proud to offer a hybrid working model for this role which will typically consist of 2-days working remote and 3-days working from the successful candidate's designated office, subject to business requirements and approval from line management.


TENURE

This role is being offered on a specified purpose contract basis, the duration of this contract will be till end of April 2029


REMUNERATION

The salary scale for the position is at the level of Executive Officer as applies in Inland Fisheries Ireland, it is a 14-point scale including 2 long service increments (LSI’s):

Point 1 €37,564.05; Point 2€38,360.43; Point 3 €40,566.82; Point 4 €42,681.39; Point 5€44,578.00; Point 6€46,451.68; Point 7€48,279.53; Point 8 €50,069.55; Point 9 €51,885.28; Point 10€53,697.27; Point 11€55,622.40; Point 12 €56,912.50; Point 13 (LSI 1) €58,757.64; Point 14 (LSI 2) €60,613.52 (IFI Executive Officer Grade Payscales as of 01/08/2025)

Candidates should note that salary will not be subject to negotiation and the rate of remuneration may be adjusted from time to time in line with Government pay policy. New entrants to the public sector will start on point 1 subject to Haddington Road Agreement and subsequent Government Agreements.
