Job Title: Executive Officer for Facilities and Property Management

* Co-ordinate an efficient facilities management service across various activities, providing administrative and coordination functions within the Property and Facilities Department.
* Liaise with contractors, suppliers, and other third parties, co-ordinating works with business units and managing budgets, purchasing, and invoice payments as required.

Key Responsibilities:
* Facilities Management Function: Co-ordinate FM projects and tasks across AirNav Ireland through third-party contractors managed by the Property & Facilities Unit.
* Issuing of work specifications, obtaining quotations, liaising with works and service contractors, validating completion of works, and processing invoices.
* Administer FM project and works schedules, notification of upcoming works/services, tracking progress with third-party contractors.

Main Duties and Responsibilities:
1. Facilities Management: Co-ordinate FM projects and tasks, issuing work specifications, and managing budgets.
2. Property Administrative Support: Maintain property-related files, asset registers, project files, lease documentation, and monitor renewal dates of legal agreements.
3. Fleet Management: Process requests for new or replacement fleet vehicles, arrange maintenance and repairs as required, and manage insurance and tax discs, fuel cards, and toll tags.
4. Finance and Procurement: Assist in producing project scopes, business cases, and tender documentation, working with AirNav Procurement to develop works specifications, release tenders, and evaluate submissions.

Required Skills and Qualifications:
* A third-level qualification in a business-related discipline, including project management, or equivalent experience in a similar role.
* Excellent organisational, interpersonal, and communication skills.
* Proven ability to work as part of a team and autonomously.
* ICT skills (Microsoft Project, Word, Excel & PowerPoint).
