Job Title: Project Administrator
Hours: 20 hours per week (flexible, may include occasional evenings/weekends)
Location: Dunlewey, Co. Donegal
Reports to: Project Coordinator and board of Cairde na hEaragaile
Contract: Part-time, fixed-term (duration of the project)
Probation period: 3 months
Remuneration: €15.80 per hour

Cairde na hEaragaile is a community organisation working to protect and enhance the landscapes of the Dún Lúiche and Errigal area. Its projects focus on conserving habitats, managing invasive species, developing and managing sustainable access, and engaging with local communities and landowners. Through these activities, the organisation aims to balance environmental protection with community benefit and responsible enjoyment of the area.Purpose of the Role
The Project Administrator will provide essential administrative and clerical support to Cairde na hEaragaile across its portfolio of projects. The role will help ensure the smooth running of day-to-day operations, financial tracking, record-keeping, and reporting. The post holder will also assist with communications, event coordination, and stakeholder engagement, supporting both the Project Co-ordinator and wider team.
Key Responsibilities
* · Provide administrative support to the Project Co-ordinator and team.
* · Maintain accurate records of project activities, participants, and expenditure.
* · Assist with the preparation of reports, correspondence, and funding claims.
* · Track year-to-date project spend and monitoring the remaining budget.
* · Support the organisation of meetings, training sessions, and community events.
* · Take minutes at meetings and circulate them to relevant stakeholders.
* · Manage project email and phone enquiries.
* · Undertake bookkeeping & payroll, including processing invoices, timesheets, and expense claims.
* · Preparation of end-of-year accounts and financial reporting.
* · Assist with the preparation of promotional materials, newsletters, and social media posts.
* · Maintain filing systems (digital and paper-based).
* · Liaise with contractors, community groups, and stakeholders as required.
* · Ensure compliance with GDPR and organisational policies.
* · Undertake other duties as may arise in line with the needs of the project.
Person Specification
Essential
* · Strong administrative and organisational skills.
* · Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
* · Experience in financial administration or bookkeeping.
* · Good written and verbal communication skills.
* · Ability to work independently and manage time effectively.
* · Accuracy and attention to detail.
* · Friendly, approachable manner and ability to work with community stakeholders.
* · Permission to work in Ireland required.
Desirable
* · Previous experience in a similar project, charity, or community setting.
* · Knowledge of the Donegal Gaeltacht area.
* · Irish language skills (spoken and written).
* · Interest in nature conservation and community projects.
