This position is for K2 Data Centres, a company under Kuok (Singapore) Limited, based in Dublin, Ireland.
K2 is seeking an Administrative Assistant to manage and service our data centre infrastructure and facilities, supporting human resources, general office management duties, and guest/event coordination activities.
Key Responsibilities:
1. Human Resources Support:
* Serve as the primary point of contact for HR-related queries in Ireland, providing guidance on company policies and procedures.
* Work closely with the Group HR team to manage onboarding and offboarding processes, ensuring smooth transitions for employees.
* Maintain employee records and ensure compliance with local employment laws and regulations.
* Collaborate with HR Business Partners to develop and implement HR policies and procedures.
1. Training Management:
* Develop and manage training plans for the Operations team, scheduling and recording trainings in Easy Generator and SuccessFactors.
* Compile toolbox talks on Microsoft Forms and transfer them to Easy Generator.
* Manage training nomination forms for approval and documentation.
* Oversee training auto-release via the DFM ticketing system.
1. Event Organization:
* Organize K2 Ireland events such as Christmas and summer parties, coordinating venues, catering, accommodation, transportation, and entertainment.
* Identify and develop new CSR initiatives to enhance community engagement.
1. Visitor Management:
* Order and organize refreshments for meetings.
* Greet visitors and ensure a professional and welcoming experience.
1. Inductions:
* Manage site inductions, review and update Easy Generator content, and oversee data retention.
1. Personal Protective Equipment and Uniforms:
* Order and replenish uniforms and PPE across facilities.
* Manage approval forms and documentation for uniforms.
* Monitor PPE stock levels and reorder as needed.
1. Other Responsibilities:
* Assist with ad hoc projects as required.
* Mentor new staff to support their integration and foster a positive work environment.
Qualifications and Skills:
* Strong organizational skills with attention to detail.
* Excellent communication and interpersonal skills.
* Good understanding of local employment law.
* Mature handling of sensitive and confidential information.
* Proficiency in Microsoft Office Suite, especially Excel, Word, and PowerPoint.
