Reports to: Facilities & Operations Manager
Type of Role: Hybrid (4 days in the office)
The Team
We are a thriving business growing exponentially requiring a motivated and dedicated candidate to join the high-quality support team.
Responsibilities
* To deliver professional secretarial support and comprehensive client service. This is an opportunity for someone who is motivated to deliver a professional secretarial service of the highest quality.
* Supporting partner(s) with PA duties – managing inboxes etc.
* Liaising with clients representatives to arrange local and international meetings.
* General administration including creation of letters; emails; updating memos; transaction documents; articles, pitch docs etc. in Word/Excel/PowerPoint.
* Updating and maintaining contacts lists.
* Liaise with Partners and Business Services departments including IT and Accounts.
* Matter management support including opening and closing files and client WIP updates.
* Liaising with our travel management company with regards to flights, hotel accommodation, local transportation.
* Organising logistics for overseas travel including visas, local currency and transport within country of destination.
* Submitting and arranging reimbursement of expenses.
* Maintaining an accurate record of all travel.
Required experience, skills, and attributes
* Demonstrable level of experience supporting senior leadership within a professional services environment.
* Proficient use of MOS including Excel and PowerPoint.
* Dictaphone typing skills.
* Advanced organisational skills.
* Effective and professional communication skills/manner at all levels.
* Well-developed prioritization skills and acute attention to detail.
* Capability to take initiative and maintain composure during challenging situations.
* Demonstrated capability to collaborate effectively with others.
* Initiative-driven with a positive outlook.
