Kennedys' professional Support team deal with all areas of professional liability and handle claims of all sizes and complexity, including insurers who underwrite some of the world's largest financial institutions, global law firms, the 'Big Four' accounting firms, as well as insurers who underwrite regional, local and smaller institutions and firms.
Key Responsibilities
* Support all fee-earners in delivering relevant non-billable work and demonstrate quality in a timely way to build strong trust in the Secretarial and fee earning teams
* Undertake large printing jobs, brief compilation, drafting letters, systems updates
* Deal accurately with electronic filing in line with the department's process for maintaining accurate and up to date information on the matter file
* Deal with administrative requirements for all members of the team
Additional Responsibilities
* Ensure the confidentiality and security of all practice and client's documentation and/or information
* Make effective use of all IT systems including Kase, K2, Smartforms, BigHand, Word, Excel, PowerPoint, Outlook, Chrome River and InterAction. Proofread and reformat documents returned by the document production team and lawyers
* Occasional scanning of post to the Kase management system using appropriate naming conventions and thereafter distributing to the team
* To scan files where necessary for the purposes of the pre-archive processes (including liaising with fee earners to request bills for outstanding WIP)
* Undertake electronic file maintenance including splitting of files, creating new files and preparing trial/counsel bundles using appropriate software applications such as Nitro, PDF Docs or Export Assist
* Download client files/documents and communication from client portals and save to the case management system using appropriate naming conventions
* To maintain key dates in diaries
* To deal with financial transactions using the firm's finance applications
* To log electronic files out to the costs team, chase for progress updates, input all costs breakdowns on the case management system
* Preparation for signature of all correspondence and documentation
* To provide cover when secretarial team members are absent
Required Experience
* Strong communications and influencing skills (oral and written).
* IT literate with a good working knowledge of Word, Excel and Outlook.
* Collaborative, professional and able to quickly build effective working relationships with people at all levels in the firm.
* Able to work on own initiative to tight deadlines, coordinate competing activities and manage expectations professionally.
* Analytical and methodical with attention to detail.
* Dynamic and possessing a positive attitude to innovation.
* Enthusiastic with a positive attitude and a desire to learn.
