We are seeking an administrator to assist with sales support in a fast-growing automobile wholesaler in Northern Ireland.
Key Responsibilities:
* Contact dealers to confirm car availability and ensure accurate stock levels.
* Create and issue proforma invoices for customer payments, ensuring timely clearance.
* Record and receipt customer payments accurately, maintaining up-to-date financial records.
* Carry out pre-purchase checks on vehicles, verifying their condition and authenticity.
* Add new deals to the sales tracker, keeping our system up-to-date and reflective of current sales.
* Create deal files in SharePoint, saving all relevant details and paperwork for future reference.
* Share photos, invoices, and paperwork with customers via secure channels.
* Liaise with supplying dealers to request documentation and check terms & conditions, ensuring compliance.
* Set up payments for management authorisation ahead of collection, facilitating smooth transactions.
* Inspect vehicles on arrival at the office, checking for any damage or issues.
* Manage inbound post and handle outbound DHL correspondence, maintaining effective communication.
* Keep internal systems updated to accurately reflect sales, providing real-time data and insights.
Requirements:
* Minimum Maths & English GCSE at grade C/4 or above, demonstrating strong foundation skills.
* Exceptional communication skills (written and verbal), enabling clear and concise interaction.
* Strong presentation skills and a confident communicator, capable of articulating ideas effectively.
* UK driving licence and own transport, allowing for efficient travel and flexibility.
* Excellent organisational and multitasking ability, handling multiple tasks simultaneously.
* Proven administrative experience, with a track record of delivering results.
* Strong numerical and problem-solving skills, resolving complex issues with ease.
* Proficient with Microsoft Office applications, leveraging software to streamline processes.
