Join to apply for the Team Administrator role at Savills Ireland.

We are currently recruiting an experienced Team Administrator for a busy department supporting an onsite team based at Clancy Quay, Island Bridge, Dublin 8. The role involves a wide range of secretarial and administrative duties.

This is a dual role supporting both the Facilities Manager and Maintenance Team.


Key Responsibilities

Facilities Support Includes:

* Oversee day-to-day monitoring of logging calls and emails.
* Ensure all relevant information is organized, prioritise, and resolve requests.
* Collect client feedback, escalate issues when necessary.
* Manage paperwork, filing, and electronic records.
* Review check sheets, log actions, and ensure timely completion.
* Produce reports and analyze helpdesk data as needed.
* Perform general office and administrative duties.
* Coordinate and manage Planned Preventative Maintenance visits.
* Support the Facilities Manager by maintaining reports and schedules.
* Coordinate contractors' on-site activities and ensure contractor inductions.
* Issue work permits and request RAMS for all works.
* Assist with small projects and in-house event coordination.

Maintenance Support Includes:

* Track incoming maintenance requests.
* Manage contractors and track work completion.
* Handle key management.
* Liaise with Savills Property Managers.
* Manage maintenance projects.
* Handle conflict situations professionally.
* Perform additional duties as required, including lease and inventory production, tenant query responses, viewing arrangements, liaising with Concierge, and maintenance instructions.


Skills, Knowledge and Experience

* Experience in helpdesk or administrative roles is desirable.
* Proficient in Microsoft Office and Building Link.
* Team-oriented, proactive, and open-minded.
* Highly organized with excellent attention to detail.
* Strong interpersonal, written, and verbal communication skills.
* Customer service skills under time pressure.
* Ability to work independently and demonstrate flexibility.
* Multitasking skills and professionalism.
* Excellent problem-solving abilities.
