About the Role-We are seeking a highly organized and proactive Office Assistant with a strong background in scheduling and familiarity with SOLAR WORKS. Maybe you previously worked for a solar install company or vendor. This role requires someone who is confident managing calendars, coordinating travel logistics & negotiating pricing, while providing seamless administrative support with minimal supervision. If you are tech-savvy, detail-oriented, and experienced in supporting busy professionals in Ireland, we want to hear from you. This is a fast-paced office environment looking for a team member that is able to communicate effectively with clients and vendors, while maintaining good communication and detailed information- someone who enjoys lots of daily changes in workflow. Key Responsibilities
* Provide high-level administrative support to leadership with confidence building successful working relationships with internal and external customers.
* Manage complex calendars, coordinate multiple schedules, and organize meetings with a high capacity of turnaround.
* Arrange and oversee travel logistics, including flights, accommodations, and ground transportation.
* Handle corporate accommodation bookings and vendor coordination for staff, clients, and events.
* Draft, edit, and prepare documents, reports, and professional correspondence with accuracy.
* Ensure follow up of all incoming emails and group messages.
* Anticipate needs, resolve scheduling conflicts, and ensure efficient day-to-day operations.
Qualifications
* Minimum 3+ years of experience as an administrative assistant or in a comparable role scheduling routes in Ireland is a bonus.
* Proven expertise in scheduling and travel/accommodation bookings.
* Advanced proficiency with Google Sheets and Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
* Strong problem-solving skills with the ability to make decisions independently.
* Excellent organizational, time management, and multitasking abilities.
* Professional communication skills, both written and verbal.
* Demonstrated ability to handle sensitive information with discretion.
