The successful applicant will be joining an established team within the property & facilities management department to work as a Building Manager for two prominent city centre buildings - 2 Harbourmaster Place and The Bloodstone Building.

The Bloodstone Building is a modern grade A building with abundant natural light from floor to ceiling windows overlooking the River Liffey. This property is close to Grand Canal train station and various Dublin Bus routes, an area with a variety of restaurants and convenient stores and a 15' walk to the City Center.

2 Harbourmaster Place is a modern building which is located in the heart of the IFSC, includes: a new state of the art reception area with a coffee dock. The IFSC is the most centrally connected part of the city with immediate access to DART and Luas services, in addition to its direct proximity to Busaras, the main commuter bus station and Connolly Station, the main commuter rail station

You must be proactive and capable of working on your own initiative, as well as providing administrative support to the wider team. The candidate will demonstrate an understanding of service standards and key deliverables in line with contractual obligations and operate in a pro-active manner to anticipate customer needs and demonstrate a 'can-do' attitude.

The candidate will always be a highly visible and will be the initial point of escalation for all building-based occupants and site users / visitors. Experience in multiple stakeholder engagement in an occupied building undergoing a refurb or renovation would be desirable.

Key Responsibilities & Tasks

1. Building Operations Management:

* Oversee the day-to-day operations of the commercial building, ensuring it operates efficiently and effectively.
* Project management experience to oversee the coordination of building works and refurbishments
* Coordinate and supervise maintenance and repair activities, including HVAC systems, electrical systems, plumbing, and other building infrastructure including security, cleaning & landscaping.
* Implement and maintain building safety protocols, including emergency procedures, fire safety, and security measures.
* Manage building access control systems, ensuring the security and safety of tenants and visitors.
* Monitor building systems, conduct regular inspections, and address any maintenance or operational issues promptly.
* In conjunction with the central FM team, the management of all outsourced contractors for the provision of services inclusive of permits, RAMS etc.
* Supporting the building landlord and all key stakeholders to help deliver all ESG related goals and targets.
* Source, evaluate, and manage relationships with third-party vendors and contractors for maintenance, repairs, and services.

2. Budgeting and Financial Management:

* Prepare and manage the annual building budget, including operating expenses, maintenance costs, and capital improvements.
* Monitor and analyse financial performance, identifying opportunities for cost savings and efficiency improvements.
* Review and approve invoices, ensuring accuracy and adherence to budgetary constraints.
* Conduct regular financial reporting to stakeholders, providing updates on building financial performance.
* Foster positive relationships with tenants and act as the primary point of contact for their needs, inquiries, and concerns.
* Regularly communicate and engage with tenants to understand their requirements and ensure their satisfaction.
* Proactively address tenant concerns and resolve issues in a timely manner, providing exceptional customer service.
* Organise and conduct occupier meetings, providing updates and reports on building operations, policies, and improvements.
* Collaborate with tenants to develop and implement sustainability initiatives and energy-saving measures in line with building certifications and ESG plans.
* Building mobilisation, project management experience and occupier fit-out management desirable.
* Experience in multiple stakeholder engagement in an occupied building undergoing a refurb or renovation
* At least 5 years of strong Facilities / building management experience.
* Proficient in using facilities management software, CAFM systems and Microsoft Office Suite.
* A solid understanding of ESG and the importance it plays in the built environment.
* Strong knowledge of building systems, codes, and regulations
* Analysis of budgetary information to assist in annual budgetary process and cost management.
* Excellent verbal & written communication and must be excel literate.
