Collections & Dispatch Co-OrdinatorDepartment:Site Logistics TeamHours:Monday – Friday | 39 hours per weekSalary:Competitive, dependent on experienceAbout the RoleWe are currently recruiting aCollections & Dispatch Co-ordinatorfor a newly created role based at our third-party logistics warehouse in Finglas, Dublin.This position plays a key role in ensuring customer collections and dispatches are coordinated efficiently during operational hours, while delivering an excellent customer experience. You will work closely with internal sales, logistics and warehouse teams, acting as a central point of contact for customer collections and dispatch activities, as well as providing administrative support within site logistics operations.Key ResponsibilitiesThe successful candidate will:Coordinate and schedule outbound deliveries and dispatches to ensure timely and accurate order fulfilmentPrepare and issue dispatch documentation, including delivery notes and manifestsMonitor and track vehicle movements, ensuring adherence to delivery schedulesLiaise with drivers, couriers and transport providers to resolve delivery issues promptlyEnsure all dispatch activities comply with company procedures and health & safety regulationsMaintain accurate dispatch records and update ERP systems accordinglyCommunicate proactively with customers regarding collections, deliveries and any delaysAssist with load planning to optimise vehicle capacity and reduce transport costsTake full responsibility for customer collectionsDeliver excellent customer service, ensuring customers feel welcome, valued and supportedLiaise with warehouse teams to ensure customers and visitors are attended to efficientlyProvide on-site, customer-facing support to internal sales teams (Instantor & Flair)Ensure the Customer Collection Centre is fully manned, well maintained and presentableAnswer customer phone calls and manage or redirect collection-related queries as appropriateProvide general office administration support, including scanning PODs and returns documentationEnsure all couriers and visitors are signed in/out and guided appropriately on siteProactively work with sales and warehouse teams to minimise customer waiting timesRespond efficiently to customer and internal queriesBuild strong working relationships across sales, logistics and warehouse teamsMaintain up-to-date knowledge of the Flair product range to offer suitable alternatives where requiredKey CharacteristicsExperience in an office or administrative roleStrong customer service skills with an excellent telephone mannerAbility to multitask and prioritise in a fast-paced environmentExperience working to deadlinesFamiliarity with ERP systems (Intact preferred)Flexible, proactive and willing to contribute to a busy teamHard-working, resilient, conscientious and self-motivatedDesirable Skills & ExperienceWorking knowledge of ERP systemsGood proficiency in Microsoft Office (Excel & Word)Strong communication and interpersonal skillsProven problem-solving ability with a customer-focused mindsetExperience working with electronic data or basic data analysis (desirable, not essential)Benefits PackageAttractive salary, dependent on experienceEmployee Assistance ProgrammeContributory pension schemeFree on-site parking
