Role Overview
The Client Co-ordinator plays a key role in supporting the delivery of maintenance and service contracts within the M&E business. Acting as the central point of coordination between the Helpdesk, Account Manager, service engineers, subcontractors, and clients, this role ensures smooth operational delivery, effective site access arrangements, and high levels of client satisfaction. While the business operates a customer helpdesk that logs incoming service calls, this role is primarily client-focused, ensuring that planned and reactive works are efficiently coordinated and communicated.
Key Responsibilities
Client & Account Support
* Act as a key point of contact for designated clients, building strong and professional working relationships
* Support the Account Manager with day-to-day coordination of service and maintenance activities
* Assist with contract administration and ensure service delivery aligns with client agreements and SLAs
Coordination & Scheduling
* Coordinate site access for engineers and subcontractors, including permits, inductions, and access arrangements
* Liaise with subcontractors to arrange attendance for planned maintenance and remedial works
* Ensure all visits are scheduled, confirmed, and communicated effectively to all parties
Helpdesk & Internal Liaison
* Work closely with the Helpdesk team to progress logged service calls
* Monitor job statuses to ensure timely completion and escalation where necessary
* Provide updates to clients and the Account Manager regarding progress, delays, or issues
Documentation & Administration
* Ensure all service documentation, reports, and compliance records are received and filed correctly
* Assist with preparation of reports for clients and internal stakeholders
Health, Safety & Compliance
* Ensure subcontractors and engineers meet required compliance and site requirements
* Support the coordination of RAMS, permits, and site documentation as required
Skills & Experience
Essential:
* Previous experience in a coordination, administration, or client support role (ideally within M&E, facilities management, construction, or engineering)
* Strong organisational and multitasking skills
* Excellent communication skills, both written and verbal
* Ability to liaise confidently with clients, engineers, and subcontractors
* Proficient in Microsoft Office (Word, Excel, Outlook)
Desirable:
* Knowledge of M&E or facilities maintenance environments
* Experience supporting Account Managers or contract teams
