Title: Finance and Operations Manager Reporting to: CEOType of Contract: 0.6 FTE, 2-year fixed-term (potential to extend)Location: Dublin - Hybrid (remote flexibility)About IPPOSIIPPOSI (the Irish Platform for Patient Organisations, Science and Industry) is a patient-led organisation that brings together patients, patient groups, researchers, healthcare professionals, industry, and government to embed the patient voice at the centre of healthcare, policy, research & innovation.

We provide education and capacity-building programmes that give individuals with the knowledge, skills, and confidence to participate meaningfully in shaping health innovation agendas.

We also create trusted space for open dialogue among diverse voices on shared priority areas and collectively co-create practical solutions - helping shape a healthcare ecosystem that is more inclusive, responsive, and accessible for all.

Role Overview The Finance & Operations Manager is responsible for ensuring the financial integrity, operational efficiency, and compliance of IPPOSI.

This role combines strategic financial planning with hands-on operational support, contributing to the organisation's sustainability and success.

Main Duties and Responsibilities: Financial Management & Reporting· Maintain accurate accounting records, including appropriate nominal ledger coding for all transactions (sales, project costs, grants, and other income).· Oversee the book keeping function to ensure timely and accurate data entry.· Reconcile bank accounts and monitor cash flow regularly.· Prepare quarterly management accounts and provide financial insights to support decision-making.· Produce grant-related financial reports (national and EU), ensuring compliance with conditions and deadlines.· Contribute financial content for the Annual Report and other statutory filings.· Support the preparation of statutory accounts and liaise with external auditors.· Develop financial forecasts and scenario planning to ensure long-term sustainability.· Assist the CEO in preparing the annual budget and multi-year financial plans aligned with organisational strategy.

Invoicing and Financial Administration· Manage invoicing for membership fees, projects, and other activities.· Monitor and maintain relationships with public and private income sources to ensure timely payments and accurate recording.· Oversee the receipt, recording, and banking of all income, reconciling deposits with the CEO and providing regular updates on membership subscriptions.· Administer honoraria payments for public and patient contributors across IPPOSI initiatives.

HR & Payroll· Liaise with external payroll provider to ensure accurate and timely salary payments.· Administer the employee pension scheme, including reconciliations, onboarding and compliance with pension regulations.· With the CEO, monitor HR processes including monitoring staff annual leave and other leave allowances.

Risk & Governance Compliance· Ensure adequate insurance coverage for all IPPOSI operations and activities.· Review and strengthen financial controls to minimise risk exposure.· Maintain organisational policies and procedures; develop new policies as required.· Coordinate meetings of the Finance, Audit & Risk Committee and liaise closely with the Committee Chair.· Support the CEO in scheduling and facilitating meetings of the Board of Directors.· Assist the Company Secretary with compliance filings to the Charity Regulator (CRA) and Companies Registration Office (CRO).

Operations & Event Support· Book Manage logistics for IPPOSI events, including venue booking, catering, and supplier coordination.· Manage relationships with third-party suppliers, including auditors, banking partners, and other professional service providers.· Oversee the registration process for new IPPOSI members.· Monitor organisational subscriptions and software usage to ensure efficiency and value.· Attend and support the delivery of in-person IPPOSI events which are based in Dublin.

Person Specification Qualifications and Experience· A relevant third-level qualification in finance, accounting, accountancy technician, business administration, or a related field.· Minimum 2 years of experience in financial management, including budgeting, forecasting, and reporting.· Proven experience in bookkeeping and working with accounting software (e.g., Accounts IQ).· Strong understanding of compliance requirements for charities and/or companies (CRA, CRO).· Experience supporting payroll and pension administration.· Demonstrated ability to prepare financial reports for grants and funding bodies.· Hands-on experience with operational support, including event logistics and supplier management.

Desirable· Professional accounting qualification (e.g., ACCA, CPA, CIMA) or working towards one.· Experience in the non-profit or healthcare sector.· Familiarity with governance frameworks and risk management practices.· Knowledge of EU and national grant reporting requirements.· Experience supporting board committees and governance processes.

Benefits· Annual leave of 21 days (pro-rata to be applied)· Five discretionary leave days: Good Friday, Christmas Eve, working days between Christmas and New Year.· Employer-matched Pension Scheme up to 5%, following 6-month probationary period.· Opportunity for flexible/hybrid working.
