University College Dublin’s Professional Academy is seeking a temporary Technical Documentation & IT Support Administrator.
The UCD Professional Academy focuses on delivering shorter, career-focused training to individuals across a wide variety of industries. These courses are primarily delivered online.
Housed as a commercial company owned by the University, we operate a fast-paced, forward-thinking, and dynamic environment with significant market opportunity and a worthwhile mission. The Professional Academy is an ambitious project which seeks to make a significant contribution to promoting skills-based training to the workforce, while upholding UCD values by embedding quality, integrity, and accountability into every aspect of its activity.
This new temporary role will focus on supporting our IT team during a high-volume project period by taking ownership of internal documentation, project coordination support, and IT admin tasks. Working closely with the IT team, project leads, and other teams, you’ll help streamline processes, aid project communication, and ensure technical information is clearly documented and accessible.
You’ll manage the end-to-end documentation process across a range of initiatives, from IT project notes and system updates to process documentation and internal guides using agile principles and a structured, detail focused approach. You’ll also assist with triaging and responding to support tickets related to documentation, reporting, and project admin and documenting processes for systems such as Stripe, Sage Intacct, AWS Lambda, HubSpot CRM, Slack, and Google Workspace (G Suite).
You’ll be the key bridge between technical delivery and clear, usable documentation; comfortable engaging with technical concepts, confident enough to ask the right questions, and organised enough to ensure nothing slips through the cracks.
What You'll Do
* Own the creation and maintenance of clear, structured technical documentation across IT projects, systems, tools, and internal processes.
* Work closely with the IT team and project leads to capture project updates, decisions, workflows, and system changes as they happen.
* Respond to and track internal requests related to documentation, reporting, and administrative tasks.
* Maintain internal records including project action logs, meeting notes, log changes, and internal process documentation.
* Coordinate small but important project tasks such as chasing actions, scheduling meetings, and formatting or distributing materials.
* Take a structured, iterative approach to documentation and support working in small, consistent steps that reflect agile ways of working.
* Communicate with clarity and confidence asking questions where needed, and ensuring outputs are accurate, relevant, and usable.
What you bring
* Understanding of basic IT concepts (e.g., systems, integrations, user access, ticketing systems).
* Essential: Proven experience with HubSpot CRM (or similar), including managing data, documentation, and/or integrations.
* Desirable: Familiarity with Stripe, Sage Intacct, AWS Lambda, Slack, and Google Workspace (G Suite).
* Proven experience creating, editing, and maintaining technical or procedural documentation.
* Excellent written communication skills with strong attention to structure, clarity, and detail.
* Strong organisational skills and ability to manage multiple priorities across different projects.
* Experience working in a support, coordination, or administrative role, ideally within IT, projects, or IT operations.
* Proficiency with common documentation and collaboration tools
* Knowledge of or interest in technical writing standards (e.g., plain English, content structuring, version control)
* Formal training or certification in technical writing, business analysis, or IT support is a plus but not required.

* 22 days of annual leave (pro-rated) and the company closes over Good Friday and the Christmas period in addition to this time off.
Salary: €35,000–€45,000 depending on experience, per annum (pro-rated based on contract duration)
