Bookings & Events Manager
This role will be based at DCU Sport (inc. Sports Complex, Soccer Centre, Sports Campus, St. Patrick’s Sports Complex, Morton Stadium), Dublin City University, Glasnevin, Dublin 9. The Bookings & Events Manager is responsible for the operational excellence of all bookings and events across DCU Sport’s multi‑site portfolio. Beyond daily administration, this role focuses on maximizing occupancy and revenue, developing long‑term partnerships, and leading the coordination between internal operations and external stakeholders to deliver superior user experience at all times. Data input, IT skills, administration, attention to detail and report generation are critical components of this role.
Bookings Management and Strategic Oversight
Ensure all bookings fully comply with all safety regulations, operational procedures, and best‑practice standards at all times, with zero tolerance for non‑compliance.
Handle and process bookings and events for all sites via the booking system (Gladstone) and ensure data‑driven decision‑making and efficient reporting.
Respond to customer inquiries, providing accurate information on availability, pricing, and terms.
Oversee all Service Level Agreements (SLAs) and block‑booking contracts to maintain accuracy, compliance and records are up‑to‑date.
Maintain an organised booking calendar and ensure no scheduling conflicts.
Manage the end‑to‑end financial process, including pricing and invoicing.
Develop and implement strategies to ensure maximum occupancy and revenue across all sites.
Events Coordination
Ensure all events fully comply with all safety regulations, operational procedures, and best‑practice standards at all times, with zero tolerance for non‑compliance.
Lead the planning and execution of events, acting as the senior point of contact for the duration of the event.
Work with clients to understand their requirements and provide tailored event solutions.
Liaise with internal stakeholders (Site Managers and Duty Managers) to ensure event logistics are in place.
Evaluate event success through KPIs and feedback loops to drive continuous improvement in service delivery.
Customer Service & Communication
Set the standard for exceptional customer service, resolving complex escalations and ensuring the highest standards of service at all times.
Build strong relationships with bookees, both block bookings and once‑off bookees.
Maintain clear and professional communication via email, phone, and in‑person interactions to ensure all stakeholders are kept informed of all details at all times, including any last‑minute changes.
Administrative & Reporting Duties
Document control is a critical part of this role.
Keep accurate records of bookings, events, and customer interactions and ensure all Service Level agreements are up to date and accurate at all times.
Co‑ordinate website information, social media postings and news articles to promote and drive further bookings.
Generate reports on facility usage and revenue.
Ensure compliance with health & safety and organisational policies for events and facility usage.
Any other duties, which may be assigned from time to time by the General Manager or his or her nominee.
What We’re Looking For
Professional Qualifications and Experience
Education – A 3rd level degree is essential, preferably in Sports Management, Business, or Hospitality.
Leadership Experience – Proven track record in a senior administrative role within a high‑volume sports or leisure environment.
Systems Expertise – Advanced proficiency in Gladstone (or similar membership databases) and the Microsoft Office Suite.
Personal Qualities

Previous experience in bookings administration, event coordination, and customer service.
Ability to prioritise complex workloads and work on own initiative in a fast‑paced environment.
Exceptional written and verbal communication skills to ensure all stakeholders are informed at all times.
Ability to work independently and as part of a team.
Proven ability to excel under high‑pressure conditions while effectively managing dynamic schedules and complex logistical operations.

Our salary scale ranges from €34,770 – €39,770; salary is offered commensurate of experience.

Essential Training
