Aramark Workplace Solutions (AWS) are currently recruiting for a Helpdesk Administrator for Contracts Department based in the OPW, Santry, Dublin. This is a Permanent position reporting directly to the Maintenance Contracts Supervisor. This role supports the delivery of contracted services to our clients.
About the Role
The successful candidate will be proactive and self-motivated in managing the OPW contracts database, and associated filing system and will have the ability to develop and maintain excellent rapport with OPW Clients, customers, OPW staff and maintenance contractors. This is a hybrid position therefore office attendance is required on specific days.
Responsibilities
* Operating and ensuring that accurate information is entered into the onsite system.
* Maintaining and updating all electronic filing, completing special assignments and tasks.
* Leasing with contractors, placing and cancelling maintenance contracts.
* Presenting issues to the Supervisor for clarification on an ongoing basis.
* Contacting maintenance contractors directly on queries of service.
* To support Helpdesk Operations when required to do so as instructed by the Supervisor for example (call logging, invoicing, and any admin duties required).
* To be proactive and flexible in supporting general office / Contract / Helpdesk administration duties as required.
Qualifications
* Educated to Leaving Certificate Level.
Required Skills
* 2 years' experience in a similar facilities administration role.
* Understanding of planned maintenance procedures & building assets.
* Planning and organizational skills are essential as the role requires balancing many different duties and being able to prioritize them.
* Ability to accurately complete tasks assignments in a timely manner.
* Excellent organizational, interpersonal and communication skills.
* Attention to detail a must.
* The ability to communicate effectively, over the telephone, email and face to face is essential.
* Dependable and flexible, able to work independently as well as part of a team.
* Experience of working within a busy office environment.
* High level working knowledge of MS office packages, Word, Excel.
* A basic understanding of good health & safety practices.
